CIVIL SERVICE TITLE(S):ย ย Office Clerk III (Competitive)
JOB DESCRIPTION:ย  ย 



The Front Desk Clerk serves as CWD's first point of contact for visitors and callers and independently manages registration and record-keeping for weekly adult entrance assessments and literacy orientations. This role is in a high-traffic reception environment with frequent public contact. Balances office tasks with frequent, friendly visitor interactionsfast-paced and positive environment keeps everyday dynamic and rewarding.ย 

Schedule: ย Monday-Friday, 7:30am-4:00pm with one day a week early evening coverage for assessments, orientations, or events

TYPICAL DUTIES:ย ย 

Front Desk & Admissions Servicesย 

  • Greeting all visitors and prospective students; manage sign-in, issue visitor passes as applicable, and direct to appropriate staff/rooms.
  • Provide welcoming, professional coverage for all incoming calls, department wide emails, and in person inquiries; record messages and ensure timely, "warm" handoffs to staff.
  • Capture student photos and produce CWD ID badges for new students; maintain supplies and reprint badges as needed.
  • Keep reception area resources current (daily information board, flyers, digital displays).
  • Coordinate with BOCES Security to maintain procedures for visitors and guest entry
  • Answer routine questions about program options, schedules, admissions steps, entrance assessments, and tuition/payment procedures; guide prospective students through initial registration and direct to advisors when needed.
  • Support entrance assessment operations (check ins, reminder calls, roster support) and New Student Orientation logistics (packet assembly, materials).
  • Accept and receipt registration related payments in line with office procedures.
  • Deliver excellent customer service with empathy and cultural humility; use plain language, translated materials, and interpreter resources as appropriate for English learners.
  • Monitor shared inboxes, route partner and community inquiries promptly.
  • Provide general clerical support (copying, filing, basic room readiness) and assist with CWD events (open houses, employer nights, graduations) in coordination with program teams, security and O&M.ย ย 

Records & Data Qualityย 

  • Manage student registration for weekly entrance assessments and orientation sessions, ensuring all registrants are accurately added to relevant systems and records are promptly updated following each event.
  • Create and update student records in Orbund and support accurate capture of attendance/assessment data for ASISTS; follow CWD workflows to protect data integrity for compliance and reporting.
  • Scan, file, and index enrollment documents; maintain both paper and digital records in accordance with CWD/BOCES policy and applicable law (FERPA, Education Law 2d).
  • Conduct follow-up phone calls with former students to collect and enter data on program completion, employment status, and further education outcomes, ensuring accurate tracking and reporting for compliance purposes.
  • Uphold strict confidentiality of all student information and PII; comply with FERPA and BOCES privacy/data security policies.ย ย

Qualifications:

  • Strong computer skills; experience with databases preferred
  • Experience in public education, workforce development, higher education, or community facing roles.
  • Multilingual or bilingual skills (languages common among CWD adult learners).
  • Familiarity with visitor management/badging and student information systems.
  • Skilled in customer service, clear communication, and maintaining confidentiality.ย 
  • Reliable in managing front desk tasks, keeping accurate records, and working well with teams across departments.ย 

Must possess or meet requirements for Civil Service title Office Clerk III.ย 

Clerk IIIย - High School diploma and 2 years paid full-time or part-time or volunteer equivalent office clerical or secretarial experience; or an Associate's degree in Secretarial Science, Office Technology or a closely related field.
