The Opportunity:

UCF's Rosen College of Hospitality Management - home to one of the nation's top hospitality programs - is seeking an Event Coordinator to help bring the college's mission to life through exceptional events and meaningful community engagement.

In this role, you'll plan, coordinate, and execute a wide range of college events, from intimate receptions and professional ceremonies to large-scale conferences and community programs, including signature events like Universal Day and Disney Career Exploration Day, connecting Rosen students with career opportunities at two of the world's most iconic entertainment and hospitality brands.

You'll work collaboratively with the Program Manager and campus partners while exercising real ownership and independent judgment over your portfolio of events. Responsibilities:

Event Planning & Execution

  • Plan, coordinate, and support college events including meetings, receptions, conferences, ceremonies, tours, community events, and special programs.

  • Manage event logistics, timelines, vendor communication, guest services, and day-of operations collaborating with Supervisor as well as exercising independent judgment and initiative.

  • Coordinate room reservations, setup, catering, audiovisual needs, signage, parking, registration, guest lists, event materials.

  • Provide on-site event support, welcome guests, and troubleshoot issues.

  • Communicate with vendors, campus partners, departments, and external organizations to ensure events run smoothly and professionally.

College Outreach & Engagement

  • Promote the Rosen College of Hospitality Management through events, outreach, and professional engagement with internal and external audiences while ensuring all events reflect the college's standards and mission.

  • Support revenue growth by identifying opportunities to increase event participation, sponsorships, partnerships, and sales while enhancing guest experience and operational efficiency.


Administration & Continuous Improvement

  • Maintain event records, timelines, contact lists, supply inventories, and post-event documentation.

  • Provide on-site support by welcoming guests, troubleshooting issues, managing schedules, evaluating event success, and recommending improvements.


Student Supervision

  • Supervise, train, and schedule student interns supporting college events, outreach, marketing, and hospitality operations.

Additional Responsibilities

  • Other duties and responsibilities as assigned by direct Supervisor, Associate Dean and Dean.

  • Ensure all events reflect the standards, mission, and reputation of Rosen College of Hospitality Management.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience oran equivalent combination of education and experiencepursuant toFla. Stat. 112.219(6).

Preferred Qualifications:

  • Experience planning and executing high-profile or signature events in a professional setting, such as hospitality, corporate, nonprofit, or higher education environments.

  • Demonstrated experience managing external vendor relationships, including contract review, compliance, and budget tracking.

  • Experience with sales initiatives, event sponsorships, or partnerships aimed at growing event participation and revenue.

  • Strong project management skills with the ability to manage multiple events simultaneously across varying scales and audiences.

  • Experience supervising, training, or mentoring student workers, interns, or part-time staff in a professional or university setting.

Special Instructions to the Applicants:

Position requires a valid Class E driver's license. This position may involve driving to various locations on and off campus to conduct University business.

This position requires occasional travel and may involve evening and weekend hours to support events, activities, and college programming. Scheduling flexibility is expected as business needs and event calendars may vary throughout the year.

The anticipated salary range for this position is $48,722 - $54,203. The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
