Founded in 1986, St. Charles Community College (SCC) has a reputation as one of the best two-year colleges in the state of Missouri. We are seeking an Office Assistant who will collaborate with and support services offered through the Student Health & Wellness Office and the campus community as a whole.

The Student Health & Wellness Office Assistant provides administrative, operational, and student-facing support for the Student Health & Wellness Office. Working under the direction of the Student Health & Wellness Program Manager, this position supports Maxient systems, wellness initiatives, student access to TimelyCare, office operations, record maintenance, communications, and health and wellness events that promote student well-being and success.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Student Support Assistance

  • Serve as a first point of contact for students visiting the Student Health & Wellness Office.
  • Assist students with completing intake forms.
  • Maintain records of resource utilization.
  • Schedule appointments and connect students with the Student Health & Wellness Program Manager or other campus resources, as appropriate.
  • Maintain confidentiality of student information.
  • Represent the Student Health & Wellness Office at campus events and presentations as requested.

TimelyCare Administration and Promotion

  • Promote TimelyCare through digital signage, social media, email, the SCC Portal, and Canvas, as directed by the Student Health & Wellness Program Manager.
  • Assist students with registering for and navigating TimelyCare services.
  • Support the collection and analysis of usage reports and data.
  • Assist students with accessing and utilizing TimelyCare services.

Wellness Communications & Outreach

  • Format wellness communications and educational materials.
  • Maintain webpages, portal pages, calendars, and resource directories.
  • Submit flyers, forms, promotional materials, and other outreach and marketing resources as requested by the Student Health & Wellness Program Manager.

Health & Wellness Event Support

  • Assist the Student Health & Wellness Program Manager with the coordination and implementation of student health and wellness events.
  • Support room reservations, marketing requests, supply procurement, food orders, vendor communications, volunteer coordination, and attendance tracking.
  • Provide on-site event support.
  • Assist with wellness awareness campaigns and Healthy Campus initiatives.
  • Support assessment efforts and special projects.

Administrative Support

  • Provide administrative support to the Student Health & Wellness Program Manager.
  • Maintain records, forms, databases, and tracking systems.
  • Order supplies and process requisitions.
  • Prepare reports, correspondence, and other documents.
  • Update the Student Handbook annually and revise other informational materials as needed.
  • Research best practices and protocols for implementation at SCC
  • Perform additional administrative duties as needed, including arranging meetings, coordinating conference registrations, and creating brochures, presentations, and handouts.

Maxient Administration Support

  • Assist with Student of Concern and wellness-related reporting processes within Maxient.
  • Support reporting, documentation, and data collection efforts.
  • Serve as a member of the Student Conduct Committee.
  • Support student outreach efforts and maintain the Maxient electronic database for student conduct, early alert, academic reinstatement, student success, and academic integrity cases.
  • Communicate and follow up with faculty and staff regarding Maxient reports and related student concerns.

Additional Responsibilities

  • Provide exceptional customer service to students, faculty, staff, and visitors.
  • Attend meetings, training sessions, and professional development opportunities as requested.
  • Perform other duties as assigned by the Student Health & Wellness Program Manager.
  • Collaborate with faculty, staff, administrators, and external agencies or institutions as needed.

Minimum Qualifications

  • Associate degree in a related field or equivalent combination of education and experience.
  • Two years of experience in administrative support, customer service, student services, office coordination, or related field.
  • Proficiency in Microsoft Office Suite applications.
  • Strong organizational, communication, interpersonal, and customer service skills.
  • Ability to maintain confidentiality and effectively manage multiple priorities.

Preferred Qualifications

  • Bachelor's degree in public health, Health Education, Psychology, Social Work, Student Affairs, Human Services, Business or related field.
  • Experience in higher education, student affairs, student services, or wellness programming.
  • Experience assisting with the planning and coordination of events, workshops, outreach activities, or awareness campaigns.
  • Experience with Maxient, Microsoft 365, Canvas, or similar systems.
  • Knowledge of FERPA and higher education confidentiality requirements.

Physical Requirements

  • Ability to lift and transport materials and supplies weighing up to 25 pounds.
  • Ability to assist with event setup and breakdown.
  • Ability to work occasional evenings and weekends for events.
  • Ability to travel to satellite campuses.
