Job description

Job Summary:
Instrata is a company focused on project coordination and customer communication. They are seeking a Project Coordinator to support Project Managers, coordinate project activities, and oversee administrative functions to ensure successful project execution.
Responsibilities:
โ€ข Support day-to-day project activities across multiple projects in partnership with assigned Project Managers.
โ€ข Coordinate project documentation, schedules, materials, and project-related communications.
โ€ข Assist with staffing coordination and resource planning as directed by Project Managers.
โ€ข Serve as a primary or secondary point of contact for customers throughout the project lifecycle.
โ€ข Supervise and coordinate the daily activities of the Project Management Administrator (PMA) team.
โ€ข Assign work, balance workloads, and ensure project deadlines and administrative requirements are met.
โ€ข Review project documentation for accuracy, completeness, and compliance with company and customer standards.
โ€ข Serve as an escalation point for PMA-related questions and issues.
โ€ข Prepare and manage project submittals in coordination with Project Managers.
โ€ข Compile and deliver project closeout packages.
โ€ข Maintain organized project files, contracts, plans, reports, deliverables, trackers, and customer databases.
โ€ข Ensure project documentation remains current, accurate, and audit-ready.
โ€ข Support purchasing activities, including material ordering and vendor coordination.
โ€ข Receive, verify, and track vendor acknowledgments and order confirmations.
โ€ข Assist with issue resolution related to pending, incomplete, or closed orders.
โ€ข Help coordinate post-delivery follow-up and customer satisfaction activities.
โ€ข Assist Project Managers with change order preparation, documentation, and approval tracking.
