CEI is seeking an experienced, highly organized, and proactive Executive Assistant to support the COO/CFO. This is not a traditional administrative assistant role. We are looking for an individual who understands the fast-paced and highly regulated environment of behavioral health, mental health, and group home services, and who can function as a dependable extension of executive leadership. The ideal candidate is an exceptional listener who understands instructions, anticipates next steps, follows assignments through to completion, maintains confidentiality, and does not require repeated reminders to manage routine responsibilities.

RESPONSIBILITIES
  • Provide direct executive and administrative support to the COO/CFO.
  • Manage executive scheduling, meetings, correspondence, reports, deadlines, and followup.
  • Track assignments and ensure outstanding matters are appropriately followed through to completion.
  • Prepare meeting materials, take accurate notes, document action items, and provide status updates.
  • Assist with administrative employee onboarding and track required documentation, training, certifications, competencies, and 90day requirements.
  • Assist with behavioral health and group home compliance documentation and tracking.
  • Assist with Medicaid/Medicarerelated administrative documentation, credentialing, recredentialing, surveys, audits, and compliance deadlines.
  • Maintain confidential executive, employee, financial, and organizational information.
  • Assist the Financial Manager with administrative financial organization, document collection, tracking, reporting support, and followup as directed by the COO/CFO.
  • Coordinate with managers and staff to obtain requested documentation and information.
  • Identify approaching deadlines, missing documentation, or unresolved matters and proactively bring them forward.
  • Adjust priorities appropriately as executive and organizational needs change.
  • QUALIFICATIONS
  • Approximately 5 or more years of experience in mental health, behavioral health, group home services, healthcare administration, or a closely related environment.
  • Experience supporting executive or seniorlevel leadership.
  • Working knowledge of behavioral health and group home compliance.
  • Familiarity with Medicaid and Medicare as they relate to behavioral and mental health services.
  • Experience with healthcare documentation, credentialing and recredentialing, audits, surveys, compliance tracking, and/or employee onboarding.
  • Exceptional organizational and time management skills.
  • Strong active listening and comprehension skills.
  • Excellent written and verbal communication.
  • High level of confidentiality and professional judgment.
  • Ability to manage multiple priorities and changing deadlines.
  • Strong computer and Microsoft Office skills.
  • Ability to work independently while recognizing when executive direction or approval is required.
