We're looking for a self-driven and versatile Senior Administrative Assistant to join the Starbucks Technology team. They will provide dedicated administrative support to engineering and data science leaders in our Nashville office. This person will effectively manage leaders' calendars with attention to accuracy, detail, and allocation of time and resources. They will handle confidential and non-routine information, exercise independent judgment and discretion in making decisions and carry out activities following general guidelines. They must possess the ability to perform a high volume of tasks with limited direction, independently solve problems and take on projects to improve processes. They will support building a sense of community among the teams and help facilitate a joyful and engaging work environment.
The role will promote productivity and support execution of leaders and team goals and objectives, organize team meetings and events, support travel plans, and expense reports. They will also partner closely with Starbucks Technology executive assistants and the broader team to help drive the rhythm of the business by aligning calendars, sharing best practices, and cascading communications.
In addition to the responsibilities above, as a senior administrative assistant, you will...
  • Develop an understanding of Starbucks systems and culture, the business model and team structure to enable support to their leaders and teams, as well as direct requests appropriately.

  • Build trust with the executive and team. Leverage strategic and big-picture thinking to predict needs and eliminate obstacles.

  • Partner with other assistants across Starbucks Technology and the enterprise to ensure seamless leadership support and enterprise alignment

  • Exercise consistent sound judgement when managing confidential and sensitive information including executive email, leader and enterprise communications, materials, and conversations, all while understanding what information can be shared, when, how, and with whom.

  • Proactively and strategically manage complex calendars to drive efficiency and manage information flow by filtering distractions to enhance the executive's productivity and focus

  • Lead and organize highly complex activities including team and department events, conferences, and cross-functional meetings

  • Take end-to-end ownership of projects and deliverables appropriate to achieve expected results

  • Provide insight into team engagement and morale, lead team activities and provide teambuilding recommendations to your leader

  • Create and share best practices with the support team to promote operational efficiencies across the department. Coach and manage collaboration within the support team

  • Be willing and able to support multiple executives backing up other admins as well as the executive assistant during times of need

  • Be adept at leveraging existing and new tools, resources, and programs to achieve operational excellence for yourself and others

  • Progressive administrative experience and/or Starbucks store experience (5+ years).

  • Experience managing calendars and email on MS Outlook (5+ years)

  • Project or event management (5+ years)

*If you are working in CA, CO, IL, LA, ME, MA, NE, ND or RI, you will accrue vacation up to a maximum of 120 hours (190 in CA) for roles below director and 200 hours (316 in CA) for roles at director or above. For roles in other states, you will be granted vacation time starting at 120 hours annually for roles below director and 200 hours annually for roles director and above.
The actual base pay offered to the successful candidate will be based on multiple factors, including but not limited to job-related knowledge/skills, experience, geographical location, and internal equity. At Starbucks, it is not typical for an individual to be hired at the high end of the range for their role, and compensation decisions are dependent upon the facts and circumstances of each position and candidate.
