Summary:

The Ops Assistant โ€“ Stan/Eval (19 FS) will support the PACAF Aviation Squadron Administrative Support for the US Air Force.


Responsibilities

Essential Job Functions (Primary):

  • Updateย andย maintainย FLIP/EFBย procedures,ย systemsย andย databasesย IAWย prevailingย AFIs governing EFB usage (ex. ACCI 11-270).ย 
  • Update, inventory, assign, andย maintainย EFB systems as an OMD Program Manager.ย ย 
  • Identify,ย address,ย andย elevate,ย asย necessary,ย EFBย requirementsย andย concernsย toย leadership and the MAJCOM EFB Program Manager.ย 
  • Attend monthly ACC PM meetings, address unit concerns,ย and brief newly established updates to the Chief of Stan/Eval for unit implementation.ย 
  • Serve as the Wing EFB system administrator, ensuring devices are configured, issued, tracked,ย updated,ย andย maintainedย asย requiredย byย thisย instruction.ย Mayย alsoย serveย asย the Wing EFB Mobile Device Management (MDM) administrator.ย 
  • Assistย theย Technicalย Orderย Distributionย Officersย (TODO)ย toย provideย aircrewsย withย current electronic flight publications and guidance on approved methods to keep all required publications up to date on the EFBย in accordance withย this instruction.ย 
  • Work with unit CCV/SELO officers to provide aircrew with current electronic flight publications using approved methods to keep all required publications up to date on BOX, Good Reader, & foreflight accounts.ย 
  • Provideย theย MAJCOMย EFBย Programย Managerย withย feedbackย onย operationalย assessments and development of EFB solutions.ย 
  • Assistย withย establishingย anย EFBย Programย Managerย organizationalย emailย box.ย 
  • Assistย enforcementย ofย standardizationย andย evaluationย policyย applicableย toย theย EFBย program, including currency of required flight publications.ย 
  • Work with unit RAโ€™s, 15/154 OG, & vendors toย purchaseย annual tech refresh and establish ACC baseline configuration standards on newly procured devices.ย 
  • Generate, publish, and track FCIFโ€™s/SIIโ€™s. Use aviation operations knowledge toย assistย in implementation.ย 
  • Update, track, & generate aircrew evaluations (AF Form 8/3862/942). Brief weekly to Squadron leadership status updates and scheduling concernsย regardingย completion timelines,ย adviseย leadership on Air Force guidance concerning waivers and requalification requirements.ย 
  • Audit files across multiple systems (PEX/ARTIMS/Purebred/DCAST) to ensureย accurateย compliance with rules and regulations.ย 
  • Generate AF Form 1522โ€™s and 4324โ€™s to update aircrew qualifications.ย 
  • Memorize and implement AFI 11-202v2, MDS Vol 1-3, CAF Syllabus, WG Program Guides, AFMAN 11-421, 11-418, & many more. Acting as a Unit SME on Air Force guidance as itย concerns toย operations & inspections.ย 
  • Daily duty involves:ย 
  • Reviewing which pilots have evaluations due within the next 30 days.ย 
  • Updating qualification records after completing flights.ย 
  • Preparing a readiness briefing for the squadron commander.ย 
  • Auditing Stan/Eval files to ensureย they'reย ready for inspection.ย 
  • Performย otherย dutiesย asย needed.ย 

Secondaryย Keyย Responsibilities:ย 

  • Squadron Assessment Program Manager (SAPM/USAP) Maintain IGEMS & MICT checklist, assign POCโ€™s andย validateย unit checklists annually. Coordinate with PACAF IG on inspection requirements and schedule.ย 
  • Represent squadron leadership to instillation leadership (General Officers/O-7O-10) regularly to communicate and address operations data.ย 

Training:ย 

  • Shall keep track whenย crew membersย will be on leave, temporary duty, have scheduledย medical appointments or other scheduling commitments.ย 
  • Shall track daily flight/ground/academic training requirements and accomplishments toย facilitateย accurateย flight scheduling as directed by the operations officer.ย 
  • Shallย assistย the DO in building the unit Annual Flying Hour Program.ย 
  • Shall coordinate with training officer to review and update student/permanent party records,ย foldersย and grade books per the applicable AFIs: AFI 11- 202V2 and AFI 11-2MDS-V2 as well as associated MAJCOM/Installation supplements, and locally developed guidance.ย 
  • Shall notifyย crew members, scheduling, and unit leadership of upcoming and overdue testing, evaluation, and training requirements via e-mail, telephone or in person.ย 
  • Shall perform testing administrator duties/function for the unit.ย 
  • Conduct monthly reviews of those aircrewsย entering intoย the first month of evaluation eligibility period.ย 

Flight Scheduling:ย 

  • Shall build long-and short-range flight schedules to ensure full coverage of all aircrew, instructor, evaluator, support personnel, and supervisor positions. Coordinate with senior squadron leadership on a daily and weekly basis.ย 
  • Contractor will de-conflict crewmember schedules and work with flight leadership to ensure crews are available to meet assignedย sortieย taskings.ย 
  • Facilitate last-minute schedule changes to ensure full coverage by working with the current mission commander/operations supervisor (or equivalent) and flight responsible for the shift that is not fullyย manned.ย 
  • Shall obtainย aircraftย and equipment availability data from MX and schedule crewmembers for training, exercises, simulators, and operations, asย required.ย 
  • Shall publish/post scheduling data for unit long-/short-range ground/academic, flying, and simulator training event schedules on PEX/GTIMS/GDSS II, or other computer database systems.ย 
  • Shallย determineย flight, ground, and simulator schedule requirements for upgrade, initial qualification, requalification, transition, currency, and continuation training based on syllabus requirements, student progression, weather, and daily equipment/training range availability.ย 
  • Perform daily updates of scheduling data to compensate for changing conditions and training completion rates.ย 

Qualifications

Necessary Skills and Knowledge:

  • Proficiency in scheduling software and systems. Strong MS Office skills.
  • Excellent verbal and written communication skills to interact effectively with crew members and internal teams.
  • Strong attention to detail and ability to multitask in a dynamic, high-pressure environment.
  • Ability to think critically and make decisions quickly, especially in time-sensitive situations.

Minimum Qualifications:

  • Minimum 1 -2 years of related experience
  • Must have a Secret clearance
  • US citizen
  • Ability to travel.

Preferred Qualifications:

  • Possesses a Top Secret clearance.
  • Experience working with PEX/GTIMS or similar proprietary scheduling program is highly desirable.
  • Experience working in a Flying Squadron/Group/Wing Stan/Eval office is highly desirable.
