Transactions Coordinator - Real Estate Broker Location: Toms River, NJ Job Type: Full-Time Experience Level: 1–3 Years Preferred Industry Keywords: Real Estate Administration, Transaction Coordinator, Listing Coordinator, MLS, Brokerage Support About the Role: We are seeking a real estate administrative professional or office assistant with brokerage experience to support listing coordination and transaction management for a high-performing real estate team in Toms River, NJ.   • Enter, update, and maintain MLS listings and ensure accuracy across all platforms

  • Track real estate transaction timelines, deadlines, contingencies, and milestones
  • Assist with scheduling showings, inspections, appraisals, and closings
  • Organize and maintain digital transaction files and brokerage records
  • Support listing marketing including photos, staging coordination, and property details
  • Prepare CMAs, listing packages, and supporting client documentation
  • Ensure compliance with brokerage procedures and real estate documentation standards
  • Monitor deal progress and proactively follow up to keep transactions on track
Office Assistant - Real Estate Agency Qualifications:
  • 1–3 years of experience in a real estate office, brokerage, or property management support role
  • Hands-on experience with MLS systems and listing input/update processes required
  • Experience supporting real estate transactions, listings, or agent teams preferred
  • Strong understanding of real estate workflows (listing under contract, closing)
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Ability to manage multiple listings and transactions simultaneously
  • High attention to detail and accuracy with data entry and documentation
  • Comfortable working in a fast-paced real estate brokerage environment
Transactions Coordinator - Real Estate Broker Preferred Experience:
  • Office Assistant (real estate) or Transaction Coordinator or Listing Coordinator experience or other related Real Estate office experience (title, loans, mortgages).
  • Brokerage office or related real estate "team" support experience
  • CRM system experience
  • Exposure to luxury residential or commercial real estate transactions a huge plus!
  • Experience coordinating with attorneys, lenders, and title companies
