Coordinator, Stadium Event Operations
Department: Stadium Operations
Direct Supervisor: Manager, Stadium Event Operations
Status: Full-time
Summary:
The Coordinator, Stadium Event Operations supports the day-to-day function of the Stadium Operations team and assists the Manager of Event Operations on assigned special events. This role is responsible for maintaining the Stadium Events Calendar and provide the organization with detailed information pertaining to all Special Events.
Location:
This is a full-time position based on site at Hard Rock Stadium in Miami Gardens, FL.
Responsibilities:
  • Assist with stadium master calendar, including the booking, scheduling and communication of events and stadium spaces with all departments
  • Responsible for maintaining accurate records in the Event Management Software (EMS), including inputting, updating, and managing event reports
  • Create event estimates and coordinate staffing for stadium events
  • Produce event notes and layouts with detailed information, distributing to departments ensuring events are successfully executed
  • Assist with providing event estimates, coding invoices and settlement for stadium events
  • Serve as Stadium Event Operations lead for assigned corporate events as well as other stadium special events and meetings
  • Oversee event set-up and breakdown for all internal and external stadium events and meetings
  • Inventory management, maintenance and ordering of all stadium assets used for events
  • Assist with hospitality needs for major stadium events including but not limited to football, concerts and soccer
  • Conduct routine inspections of all stadium event spaces, public areas and service areas
  • Work with Finance to create event payroll codes for all stadium events and coordinate across all departments
  • Assist manager on duty for assigned public events
  • Performs other related duties as assigned

Qualifications:
  • Bachelor's Degree or equivalent combination of education and experience in a related area
  • Preferred: AutoCAD or similar event design/layout software
  • Preferred experience with Momentus Elite
  • Working knowledge of special event operations and facility management
  • Must be solution oriented, adaptable, and capable of working both independently and collaboratively in a fast-paced, high-energy environment
  • Strong organizational skills, time management, verbal and written communication skills, and attention to detail
  • Ability to manage multiple projects and personnel simultaneously, while maintaining efficiency and a high standard of work
  • Ability to work weekends, nights, and holidays
