The Role
We are looking for a Department Assistant to join our legal team in Los Angeles. The position supports a team of Executives within the Office of the Chief Legal Officer. This hybrid role requires onsite presence 4 days a week or more, as mandated by the business.
Responsibilities
  • Performs administrative and office support activities for executives on the legal team
  • Routes incoming calls to the appropriate personnel, and track for follow up as needed
  • Manages calendars for all assigned executives on the legal team, setting up and managing meetings, reserving conference rooms etc.
  • Manages the expenses process for all assigned executives on the legal team
  • Receives and directs visitors
  • Maintains department and vacation/sick calendar and contact lists.
  • Proficient in Microsoft Office and other similar office applications, including Outlook and Word (redlining), PowerPoint, Acrobat Adobe Professional (including AdobeSign), iManage.
  • Understands the workflow relationships both of the Office of the Chief Legal Officer and the agency at large.
  • Coordinates travel itineraries and submit monthly expense reports.

Qualifications
  • 5+ years of general office experience; Reception experience a plus
  • Bachelor's Degree preferred
  • Strong Microsoft Office, specifically Word, Excel and PowerPoint
  • Professional demeanor, good judgment, ability to problem solve and superior organizational skills
  • Strong written and verbal communication skills
  • Strong prioritization ability and MS Outlook calendaring skills

Location
  • This role is hybrid, based in the Los Angeles Office.

Compensation
The base hourly rate for this position is in the range of $25.00 - $34.00. This position also is eligible for benefits and discretionary bonus. Ultimately, wages may vary based upon, but not limited to, relevant experience, time in role, business sector, and geographic location, among other criteria.
