The S.J. Quinney College of Law Conference & Events team partners with faculty, staff, students, and external organizations to deliver exceptional in-person, hybrid, and virtual events that support the College's mission. From conferences, lectures, CLE programs, and symposia to community events and special ceremonies, our team is committed to creating seamless, engaging, and professionally executed experiences.
The Senior Events & Virtual Experience Coordinator serves as the College's primary resource for Zoom Events and Zoom Webinar production, leading the technical coordination of virtual and hybrid programming while also planning and coordinating assigned in-person events. This position collaborates closely with event organizers, presenters, vendors, and campus partners to deliver successful event experiences.
The ideal candidate is organized, adaptable, and self-motivated, with strong customer service and communication skills, a willingness to learn new technologies, and the ability to thrive in a fast-paced environment. We value team members who enjoy collaborating, solving problems, having fun, and knowing when it's time to get down to business.
Responsibilities
Serve as the College's primary resource for Zoom Events and Zoom Webinar production, coordinating and producing virtual, hybrid, and livestreamed events to ensure a high-quality experience for presenters and attendees.
Configure and manage virtual event platforms, including event setup, registration, attendee communications, speaker permissions, recordings, and other event features.
Meet with faculty, staff, guest speakers, clients, and event organizers to determine event objectives, technical requirements, and production needs; conduct technical rehearsals and provide guidance to presenters before and during events.
Monitor virtual and hybrid events, operate audiovisual equipment, troubleshoot technical issues in real time, and coordinate event recordings and post-event digital content.
Develop and maintain virtual event documentation, production checklists, operating procedures, and technology resources to support consistent event delivery and continuous improvement.
Coordinate the planning and execution of assigned in-person events, including timelines, room setups, audiovisual requirements, catering, signage, vendor services, and other event logistics.
Coordinate with campus departments and external vendors to support event operations and prepare event-related agreements, purchasing requests, reimbursements, invoices, purchasing card reconciliations, and budget documentation in accordance with University policies and procedures.
Review post-event evaluations, attendance data, budget summaries, and participant feedback to identify opportunities for process improvements and future event planning.
Provide day-of event coordination and support to presenters, vendors, and participants to ensure successful event execution.
Regularly work a flexible schedule, including early mornings, evenings, and weekends, based on the College's events calendar.
Perform other duties as assigned.

Minimum Qualifications

Demonstrated computer skills including proficiency with word processing and spreadsheet programs preferred.
