Role Overview
We're looking for a Media Coordinator to join our team. In this role, you'll manage the operational processes that support successful media campaigns from purchase through reporting, including financial coordination, buying administration, campaign quality assurance, and reporting support.
You'll work closely with Media Strategists, Media Buyers, Ad Operations, account teams, analytics, finance, and media partners to keep campaign information accurate, organized, and moving on schedule. Your work will help the broader media team focus on strategy, activation, optimization, and client results.
Our preference is for candidates based in Lincoln who can collaborate in person with our team.
Key Responsibilities
  • Financial Operations: Coordinate recurring media billing, invoice processing, and financial deadlines; reconcile vendor invoices against insertion orders, schedules, and contracts; and help resolve discrepancies with Buyers, vendors, Account Service, and Finance.
  • Buying & Media Administration: Prepare insertion orders and supporting documentation, facilitate reviews and signatures, maintain organized campaign records, and coordinate vendor paperwork and approved revisions.
  • Creative Specifications & Campaign Readiness: Collect, organize, validate, and communicate creative specifications and media requirements to internal teams while identifying missing or inconsistent information before launch.
  • Reporting Operations: Collect campaign performance data from vendors, publishers, and platforms; compile, validate, and enter reporting data; and support dashboards, recurring reports, and performance summaries.
  • Campaign Launch & Quality Assurance: Complete launch verification, tag verification, and routine quality assurance; troubleshoot ad serving, creative, or delivery issues; and maintain launch checklists and campaign verification records.
  • Ad Operations Support: Support trafficking and campaign administration as needed, following established processes and escalating tracking, tagging, attribution, or technical issues to the appropriate resource.
  • Workflow & Team Collaboration: Prioritize multiple deadlines, maintain complete documentation, communicate proactively with vendors and internal teams, and facilitate resolution of operational issues.

Knowledge, Skills, and Abilities
  • Operational Excellence: Highly organized and detail-oriented, with the ability to coordinate multiple accounts, deadlines, documents, and recurring processes accurately.
  • Financial Accuracy: Ability to review invoices, schedules, insertion orders, contracts, and delivery information; identify discrepancies; and coordinate follow-through to resolution.
  • Data & Reporting Accuracy: Comfortable gathering, validating, organizing, and entering campaign data to support reporting and performance analysis.
  • Communication Excellence: Strong written and verbal communication skills with the ability to follow up clearly and professionally with media partners and internal teams.
  • Problem Solving: Able to identify missing, inconsistent, or incomplete information, troubleshoot routine campaign issues, and escalate concerns appropriately.
  • Time & Priority Management: Able to manage multiple projects and deadlines in a fast-paced environment while maintaining accuracy and responsiveness.
  • Collaboration: Works effectively across media strategy, buying, Ad Operations, Account Service, Analytics, Finance, Creative, and Project Management.

Education & Experience
  • Associate's or bachelor's degree in Marketing, Advertising, Communications, Business, Finance, Journalism, or a related field preferred. Equivalent professional experience will be considered.
  • 0-2 years of experience in marketing, advertising, project coordination, finance, business operations, customer service, or a related field.
  • Demonstrated ability to manage detailed work, prioritize multiple deadlines, and maintain accurate documentation.
  • Internship, agency, marketing, or media experience is a plus but not required.
