Project Coordinator

The Project Coordinator supports Rocket Carwash’s continued growth by keeping projects organized, documented, and on track. This role is responsible for coordinating administrative and project details across development, construction, and related business initiatives to ensure timelines, communication, and deliverables stay aligned.
Responsibilities
  • Coordinate day-to-day administrative tasks across multiple development and construction projects
  • Track project budgets, invoices, pay applications, and vendor payments
  • Prepare and maintain project schedules, meeting notes, and action item lists
  • Organize and maintain project documentation, permits, and digital file systems
  • Coordinate meetings, site visits, inspections, and contractor schedules
  • Communicate with contractors, vendors, consultants, and internal stakeholders to track progress and updates
  • Assist with lease administration, contract tracking, and due diligence items
  • Provide administrative and project coordination support across real estate, development, and related business initiatives
  • Assist with organizing and tracking projects and activities across multiple properties and business functions
  • Maintain calendars, appointments, and travel arrangements as needed
  • Prepare reports, spreadsheets, and project status updates for leadership
  • Follow up with vendors and stakeholders to ensure projects stay on timeline and tasks are completed
  • Other duties as assigned
Qualifications
  • Experience in administrative support, project coordination, or a related role
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple projects and priorities simultaneously
  • Proficient in Microsoft Excel, Word, Outlook, and cloud-based systems
  • Experience in construction, commercial real estate, or development is a plus
  • Strong communication skills and comfort working with a variety of stakeholders
