**Key Responsibilities:**
* **Master Documentation Management:** Oversee the entire lifecycle of project documentation, ensuring all records are accurate, up-to-date, and easily accessible.
* **Process Excellence:** Implement and maintain robust document control procedures, including numbering, revision control, and distribution rules, ensuring strict adherence to contractual and project-specific requirements.
* **Workflow Optimization:** Manage and optimize document workflows, transmittals, and approval cycles, coordinating reviews between internal teams, clients, and vendors to accelerate project timelines.
* **Data Integrity & Reporting:** Perform meticulous metadata entry, quality checks, and maintain accurate project folders. Prepare comprehensive status reports and manage master document lists to align with project deliverables.
* **Communication Hub:** Serve as the primary point of contact for all project documentation, facilitating clear and timely communication, and ensuring compliant information exchange.
* **Guidance & Mentorship:** Provide valuable guidance and support to junior document control staff, fostering a culture of continuous improvement and knowledge sharing.
* **Audit & Compliance Support:** Actively support internal and external audits, ensuring all documentation practices meet stringent quality and regulatory standards.
**Required Skills & Experience:**
* High School Diploma combined with at least 3 years of document control management experience.
* 4-6 years of experience in document control, including managing complex projects.
* Advanced knowledge of Electronic Document Management Systems (EDMS).
* High proficiency in Microsoft Excel and Adobe Pro.
* Must be fluent in Spanish (bilingual).
* Exceptional attention to detail and ability to follow established procedures meticulously.
* Strong organizational skills with the ability to manage multiple tasks in a fast-paced environment and meet tight deadlines.
* Excellent written and verbal communication skills, with a strong follow-up discipline.
* Proven ability to work independently and take initiative.
* Strong analytical and reporting skills.
* Ability to interpret contract documentation requirements accurately.
**Preferred Skills:**
* Bachelor's Degree in a field related to process management, compliance, or coordination (e.g., Engineering, Business Administration, Information Management, Quality Assurance, Human Resources).
* Experience with specific enterprise content management systems.
* Demonstrated ability to mentor junior staff.
