The Spa Manager at Ojo Santa Fe Spa Resort is responsible for overseeing all aspects of our premier spa. This role includes ensuring exceptional guest experiences, managing spa operations, and handling vendor relations, purchasing, and inventory. 


 ESSENTIAL JOB FUNCTIONS / RESPONSIBILITIES:

  1. Evaluates, measures, and modifies critical operational processes as needed; develops and maintains positive working relationships with others; listens and responds appropriately to concerns.
  2. Determines staffing needs and hires staff. Ensures adequate training of new hires.
  3. Recruits, on-boards, schedules, and oversees training of Spa Staff,  LMTs (Licensed Massage Therapists) and Yoga Instructors.
  4. Has a comprehensive knowledge of all spa services and pricing. Proposes modifications/changes when deemed appropriate.
  5. Purchases  spa products, linens, and supplies. Controls Spa inventory within budgetary guidelines. Always maintain adequate supplies. Ensures that proper purchasing and inventory documentation is maintained. 
  6. Communicates with General Manager and Assistant General Manager regarding any guest requests or problems. Determines, recommends, and implements the appropriate guest recovery response.
  7. Establishes and follows operational policies and procedures, including those for safety and security of all team members and guests during each shift. Ensures compliance with NM State and Federal regulations, emphasizing spa industry and best practices.
  8. Actively utilizes Spa management computer systems and trains staff in usage. Adept in using POS system and how to respond to technology problems that arise.
  9. Communicates effectively with Ojo Spa Resorts departments: Accounting; Human Resources; IT; Marketing; Projects (Facilities). Submits paperwork (hard and electronic copies) in a timely manner. 
  10. Collaborates with the Facility Manager and the Housekeeping Manager to ensure that the Spa facilities are well maintained in a timely manner.
  11. Collaborates with the Guest Services Manager to ensure high quality service.
  12. Handles daily paper and electronic work; responds to emails and texts in a timely manner.
  13. Processes the independent contractors' invoices in a timely manner. (e.g. LMTs and Yoga instructors). Processes payroll for employees of the department including Spa Staff and contractors.  
  14. Ensures Spa areas are immaculate, safe, and in good repair.
  15. Understands first aid/emergency procedures and can direct guests accordingly. Willing to become CPR/AED certified if not already. 
  16.  Consistently demonstrates Ojo Spa Resorts' Mission Statement and Core Values. 
  17. Collaborates graciously with resort department managers.

SUPERVISION:

  1. Maintains a competent and motivated team, creating a learning environment which maximizes productivity, skill development and spa team retention.
  2. Responsible for individual and team performance management and disciplinary procedures for Spa Team members.
  3. Collaborates with the HR Team to respond to employee relations and performance management situations. Documents situations on "Performance Improvement Forms" (PIFs) and provides PIFs in a timely manner.
  4. Dedicates daily attention to overseeing the activities of all team members and of department operations.
  5. Creates a positive learning environment by providing clear, specific, timely and respectful coaching and feedback to team members, to ensure operational excellence, improve overall performance, and create excellent guest experiences.
  6. Supports team members by positively reinforcing successful performance and giving respectful and encouraging coaching, as      needed.
  7. Trains or assigns training of new employees by motivating, while simultaneously making sure that they understand the correct way of going about their daily tasks. Utilizes employee handbook, SOPs, training manuals, and checklists to onboard new employees.
  8. Creates Onboarding Schedules for new employees to ensure successful integration to the Resort. 
  9. Maintains a calm demeanor when confronted with difficult situations, sets a positive example for team members and guests.
  10. Develops positive relationships with Spa team by understanding and addressing individual motivation, needs and concerns.

Requirements

  1. Minimum of three years of spa management experience, preferably at a Spa Resort.
  2. First Aid/AED/CPR certification preferred, or willing to become certified.
  3. Bachelor's Degree preferred.
  4. Computer and technology proficient. Excel, Word, Outlook. (Microsoft Office Suite).
  5. Masterful at actively managing the spa schedule and supporting computer systems/POS.
  6. Reliable and punctual. Being present in the workplace daily is key to success.
  7. Ability to work under pressure with a high level of patience and calm demeanor.
  8. Ability to work evenings, weekends, weekdays, and holidays required.
  9. Ability to sit, stand (for eight hours or more a day), reach, lift, bend, kneel, stoop, climb, push, and pull items weighing 40 pounds or less.
  10. Excellent English communication skills; both written and verbal. Bi-lingual a plus.
  11. Proven leadership qualities. Ability to work cohesively with all Spa areas and co-workers as part of a team.
  12. Strong organization and problem-solving skills. Demonstrated success at working multiple priorities simultaneously. Exercising good judgment with guest and employee situations and challenges.
  13. Financial literacy. Understanding basic P&L statements, budgets, inventory, and forecasting.
