Job description

Reservations Desk Clerk-Night

The Reservations Desk Clerk-Night will support the functions of the Front Desk by processing guest reservations and requests and supporting the hotel administrative staff. The position is on call, so the On Call Reservations Desk Clerk will need to be able to respond in person to the Legacy Hotel within 20 minutes and be able to answer the phone for the entirety of the shift.

The employee in this position will have the following essential job functions:

  • Effectively and confidently deal with stressful situations
  • Maintain a professional appearance and attitude
  • Abide by the standards and guidelines set forth in the Policy Manual
  • Ability to work nights, weekends, and holidays year-round when needed

Legacy Hotel

  • Be personable and interact with everyone that walks into the lobby
  • Stand for long periods of time if necessary
  • Respond to emails
  • Communicate with other employees and departments on campus
  • Accurately process guest reservations and check guests in and out of the Hotel
  • Process guest payments
  • Run the night audit
  • Answer telephone calls
  • Professionally and promptly address guests' concerns and questions, including taking requested items to a guest's room
  • Maintain a clean and professional work environment
  • Inspect cleanliness and orderliness of hotel rooms
  • Answer phone calls for Legacy Hotel maintenance emergencies
  • Dispatch Facilities on call technicians to resolve emergency maintenance issues
  • Maintain a front desk presence during key Southern Seminary events (i.e., Trustees, Preview Days, graduation, D3 Conference)

Student Housing

  • Answer phone calls for Southern Seminary residential maintenance emergencies
  • Dispatch Facilities on call technicians to resolve emergency maintenance issues
  • Provide detailed reports of on call maintenance emergencies and resolutions to the Southern Seminary Student Housing office

Performs other duties as may be assigned by the supervisor.

The person in this position is not required to have any particular educational background.

The person in this position is preferred to have at least one year in the customer service, sales or hospitality industry and must have some accounting experience.

The person in this position will supervise no one.

The person in this position will report to the Front Desk Supervisor.

The person in this position will be on call primarily at the hotel, although they will occasionally have to visit guest rooms requiring them to go outside and be exposed to the weather. They will also have to work in a hotel office when needed. This person should be able to lift up to 35 lbs.

The person in this position will use the following equipment: computer, copier, printer, and other generic office equipment.
