Geosyntec has an exciting opportunity for a Project Coordinator in our Davis, CAoffice. As a Project Coordinator, you will partner with Project Managers, Engineers, Scientists, and Project Accountants to support the successful delivery of engineering and consulting projects. Working across multiple concurrent projects, you'll coordinate project documentation, proposals, deliverables, invoicing support, subcontractor documentation, and internal workflows while helping ensure projects remain organized, compliant, and on schedule.

This is not a traditional administrative position. We're looking for someone who enjoys bringing structure, consistency, and attention to detail to complex technical and construction management projects. Your work will help improve project efficiency by producing polished client deliverables, coordinating project documentation, supporting operational processes, and allowing technical staff to focus on serving clients.

Essential Duties and Responsibilities
  • Partner with Project Managers, Engineers, Scientists, and Project Accountants to support the administrative execution of multiple engineering and consulting projects.
  • Coordinate project documentation throughout the project lifecycle, ensuring files, reports, contracts, and supporting materials are complete, organized, and maintained.
  • Prepare, proofread, edit, format, and compile proposals, technical reports, client deliverables, and presentations to ensure professional quality and consistency.
  • Review client contract requirements and submission instructions to help ensure deliverables, progress reports, and invoicing documentation comply with contractual requirements.
  • Support project invoicing by coordinating required documentation between Project Managers and project accounting staff.
  • Assist with subcontractor onboarding, vendor requests, and subcontractor agreements using internal procurement systems.
  • Track project schedules, milestones, action items, and deliverable deadlines across multiple concurrent projects.
  • Perform quality control reviews of project documents, PDFs, and spreadsheets for formatting, completeness, consistency, and accuracy prior to client submission.
  • Develop and improve project templates, standard operating procedures (SOPs), and administrative workflows that improve project execution.
  • Coordinate internal project meetings, communications, and follow-up activities while tracking outstanding action items.
  • Prioritize competing deadlines while supporting numerous Project Managers and technical staff.
Education and Licensure
  • High School Diploma. (required)
Skills, Experience and Qualifications
  • At least 6 years of project administration, project coordination, project support preferably in an engineering, architecture, or construction organization; or equivalent combination of education and experience. (required)
  • Demonstratable experience with attention to detail with strong proofreading, editing, formatting, and document production skills. (required)
  • Experience supporting multiple concurrent projects in a deadline-driven professional services environment. (required)
  • Strong interpersonal skills with the ability to build effective working relationships across multidisciplinary project teams. (required)
  • Demonstratable advanced proficiency in Microsoft Word and Excel. (required)
  • Demonstratable experience using Adobe Acrobat and Bluebeam Revu to prepare, review, and manage technical documents. (required)
  • Excellent written and verbal communication skills. (required)
  • Strong organizational skills with the ability to prioritize competing deadlines and work independently. (required)
  • Experience reviewing client contract requirements and coordinating project deliverables to meet contractual obligations. (preferred)
  • Experience supporting project invoicing or coordinating documentation with project accounting teams. (required)
  • Experience with procurement processes, including subcontractor agreements, vendor onboarding, or purchase requests. (preferred)
  • Experience using Coupa, Deltek Vantagepoint (or similar ERP/project accounting software), SharePoint, or Microsoft Project. (preferred)
  • Experience developing templates, workflows, or standard operating procedures. (required)
  • Valid U.S. driver's license and a satisfactory driving record for business travel. (required)

This opportunity will be posted for at least five days. Below are the potential compensation ranges that we in good faith believe are applicable for this role at the time of this posting and are only applicable for jobs to be performed in the specified location(s) below. The typical base salary range for this position is just one component of Geosyntec's total compensation package for employees. Actual compensation will be determined based on education, experience, skill set and location.

  • Minimum: $32.55/hour / Maximum: $45.58/hour (Davis, CA)
