Position Overview:

Northland Construction is looking for a highly organized, dependable, and adaptable Office Administrator to support the day-to-day operations of our growing residential construction company.

This position is ideal for someone who is comfortable wearing multiple hats, enjoys staying busy, and can confidently take on new responsibilities as they arise. The right person will help keep our office organized, maintain client and lead information, assist with marketing and social media, and provide administrative support to the construction team.

We are looking for someone who is self-motivated, detail-oriented, organized, and capable of working independently while communicating effectively with management, employees, clients, vendors, and prospective customers.

Key Responsibilities:

Office Administration

-Manage day-to-day office administrative tasks and maintain an organized office environment.

-Maintain company records, documents, files, and digital information.

-Assist with scheduling, correspondence, data entry, and general office communication.

-Prepare documents, spreadsheets, reports, and other materials as needed.

-Help track projects, deadlines, appointments, and follow-up items.

-Handle incoming administrative tasks and prioritize work based on company needs.

-Provide support to the owner, project managers, and construction team.

Excel & Data Management

-Utilize Microsoft Excel for various reporting and data analysis

-Create and maintain data for leads, clients, projects, expenses, scheduling, and other business needs.

-Enter, organize, and analyze information accurately.

Client & Lead Management

-Manage incoming customer leads and ensure timely follow-up.

-Maintain accurate client and prospective customer information.

-Track the status of leads from initial inquiry through the sales process.

-Coordinate communication and follow-up with potential and existing clients.

-Help ensure no customer inquiries or opportunities are overlooked.

-Maintain organized records of customer communications and project information.

Social Media & Marketing

-Create and post content to Northland Constructionโ€™s social media accounts.

-Help maintain a consistent and professional company presence online.

-Coordinate project photos, jobsite updates, completed projects, and company announcements.

-Assist with developing ideas for social media posts and other marketing efforts.

-Maintain awareness of what content performs well and help improve our online presence.

AI & Technology

-Utilize AI tools to improve efficiency, organization, communication, marketing, and administrative processes.

-Assist in identifying new technology and AI tools that could benefit the company.

-Use AI for tasks such as drafting correspondence, organizing information, creating content, brainstorming marketing ideas, and improving office efficiency.

-Willingness to learn new technology and software is important.

Minimum Education Required

Highschool Diploma or GED

Minimum Experience Required

Qualifications & Skills

3+ years of office administration, construction administration, bookkeeping, customer service, or similar previous experience.

Strong organizational and time-management skills.

Proficient in Microsoft Excel.

Strong computer skills and willingness to learn new software.

Excellent written and verbal communication skills.

Strong attention to detail and accuracy.
