Role Summary: The Development Associate will provide administrative support for the Development Department, including but not limited to maintaining an accurate donor database (Bloomerang), analyzing data, creating reports, generating mailing lists, and ensuring efficient donor tracking. Responsibilities include entering gifts, generating letters and receipts, reconciling records with the Finance Department, providing support to the Board of Directors, and coordinating volunteer and donor stewardship efforts.Role Requirements and Preferences:
  • Completion of a High School Diploma or GED.
  • Advanced knowledge and experience with Bloomerang or other fundraising/donor database software preferred, competency with Microsoft Office Suite required.
  • Extreme and meticulous attention to detail required.
  • Must have the ability to define problems, collect data, establish facts, and draw valid conclusions.
  • 1-year full-time experience in an administrative role at a nonprofit or other organization.
  • Familiarity with the Healing Transitions service model and the recovery process.
  • Minimum of 1 year of sustained recovery and demonstrated knowledge of recovery principles.

Core Responsibilities:
  1. Gift Processing and Acknowledgment
  • Process and enter all gifts to the organization.
  • Generate timely acknowledgment letters and receipts and maintain detailed records of each.
  • Maintains and monitors all avenues for donations.
  1. Database Management
    • Provide oversight of Bloomerang database. Coordinate and reconcile data with the Finance department.
    • Add all donor interactions, notes, and donor communication to Bloomerang to keep detailed records.
    • Support Fundraising team by pulling all reports from Bloomerang.
    • Ensure accurate and consistent data entry, analyze data, and perform regular database clean-up.
    • Regularly reconcile reports with the Finance Department.
  2. Capital Campaign Support
    • Maintain a master list of gifts and pledges.
    • Generate pledge reminders and ensure accurate tracking.
  3. Board and Committee Support
    • Serve as the primary contact and administrative assistant for the Board of Directors, Board of Trustees, and other committees as assigned.
    • Organize and prepare materials for board meetings and provide overall support.
    • Attend and record minutes at each Board meeting.
  4. Donor Stewardship, Prospecting, and Research
    • Assist with identification and research of new and potential donors, including individuals, foundations, and corporations.
    • Responsible for following monthly engagement calendar to support stewardship tactics.
  5. Event Planning and Implementation
    • Assist with planning and implementing events.
    • Manage the memorial brick program and other special initiatives.
  6. Collaboration with Finance Team
    • Regularly work with Finance team to reconcile charitable gifts.
    • Ensure clear communication with Finance team regarding donor specification.
  7. Volunteer and Tour Coordination
    • Coordinate all volunteer inquiries for the organization and maintain accurate data.
    • Coordinate and schedule all tour inquiries across the organization.
  8. Administrative Tasks
    • Maintain inventory on Development Team collateral.
    • Maintain and renew Healing Transitions letterhead.
    • Maintain compliance with Charitable Solicitation License and Sam.gov.
    • Ensure Development department is always adhering to Gift Acceptance Policy.
    • Perform other duties as assigned to support the Development Department.

Work Environment: This role involves the use of standard office equipment, including computers, phones, copiers, and filing cabinets. Employees may occasionally be exposed to wet or humid outdoor conditions. The typical noise level is moderate.
