Las Vegas, NV | Full-Time | Accounting & Finance


The Contracts Administrator supports the full lifecycle of customer and vendor agreements while ensuring accurate, timely billing across our dealership operations. Based at Swickard's corporate headquarters - the operational hub for 50+ dealerships - this role is central to the financial integrity of a rapidly scaling organization. You'll keep contract and billing data clean, compliant, and actionable for the leaders driving our growth.


WHAT YOU'LL DO

Review and process vehicle sales and vendor contracts for accuracy, completeness, and regulatory compliance

Draft, coordinate, and execute customer, supplier, and operational agreements

Maintain organized, auditable contract records within dealership and contract management systems

Monitor contract terms, amendments, obligations, and key milestone dates

Prepare and issue accurate, timely invoices for vehicle sales, parts, service, and other billable activities

Track payments, reconcile billing activity, and resolve discrepancies in customer account records

Process billing adjustments, credits, and refunds in accordance with company policy

Ensure contract and billing documentation is properly coded to support financial reporting

Generate reports on contract status, billing activity, and key performance indicators

Identify opportunities to improve workflows and support automation where it drives efficiency and accuracy

WHAT YOU BRING

Required

High school diploma or GED

1+ year of accounting experience

Working knowledge of basic accounting principles and billing processes

Understanding of contract documentation, terms, and compliance requirements

Proficiency in Microsoft Office Suite, particularly Excel

Strong attention to detail, organizational skills, and ability to manage multiple priorities

Effective communication and interpersonal skills with the ability to collaborate across departments

Preferred

3+ years of accounting experience

Experience with dealership management systems, ERP platforms, or contract management software

Strong analytical skills with the ability to interpret operational data and identify trends
