Role Summary: 

The primary role of the Operations Team Administrator (OTA) is to provide administrative support to the Bridgetown Operations team. The Operations Team Administrator will be able to work independently on projects from conception to completion and, at times, work under pressure to handle a wide variety of activities. The ideal candidate will be one who thrives on and enjoys serving as a project liaison for a diverse range of operational needs. 


The Operations Team Administrator will effectively communicate across a variety of platforms, display positive energy and a problem-solving attitude, and offer support to the Bridgetown Operations team. This individual will have the proven ability to exercise good judgment and discretion in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. 


Primary Job Responsibilities:

Office Management

  • Welcome visitors to the Bridgetown office with a warm reception and generous hospitality, maintaining a front-door presence during office hours Monday–Wednesday from 9am-3pm
  • Ordering and restocking office supplies as needed
  • Scribing and distributing Staff Meeting notes 
  • Receiving and distributing mail
  • Collaborating with EA to LP and EA to ED to support broad staff events (e.g., staff offsites). Purchase and prepare for necessary staff meeting snacks/meals, including scheduling and setting up catering as needed for both Operations Department meetings and/or staff-wide meals. Set up, clean up, and reset communal spaces after those meetings.
  • Staff celebration support, including card coordination, gift purchasing oversight & team communications
  • Ensure appropriate signage on the door when the office is closed or during staff meetings; communicate to the team via the office Slack channel with reminders not to order items for delivery on specific holidays/breaks and office closures
  • Manage and maintain oversight of all Bridgetown computer hardware, including purchases, repair scheduling, and replacements every three years as outlined in the budget. Ensure the Bridgetown Hardware Tracker is up to date and accounts for all Bridgetown-owned computers and devices
  • Manage and correspond through the main church email account & voicemail to ensure a thoughtful response to all messages within seven days
  • Work with various office vendors/service providers as needed
  • Provide Staff communication as needed through Slack & email


Operational Support

  • Provide administrative support to the Operations Director on various projects and initiatives
  • Support Bridgetown Human Resources in various tasks, including but not limited to hiring, onboarding, offboarding, and oversight of monthly timesheet management in preparation for payroll
  • Support Bridgetown Accounting with weekly preparation for bank deposits
  • Collaborate with the Operations and administrative team to ensure operational needs are met across all functions of the church
  • Security Team support: Schedule Pastor of the Day/Security Team through Planning Center & Slack
  • Serve on the benevolence team and take primary responsibility for communicating with applicants and requesting/executing support when approved by the team. Follow up with the benevolence team as needed to keep the discernment on a particular request moving along.
  • Oversee updating the PCO People database twice a year
  • Maintain volunteer dashboard that provides a snapshot for the health of volunteer teams across Bridgetown
  • Manage and maintain Bridgetown's operational platforms, including Google Suite, Microsoft, Adobe, Slack, and Planning Center Online.
  • Support Gratitude Ministry Team with monthly and annual mailings
  • Provide special project / event support as time/capacity allows


Minimum Job Qualifications:

  • Living within character qualifications of 1 Timothy 3:1-13
  • Understand and adhere to Bridgetown staff values, principles, and policies
  • Knowledge and experience using common computer programs and email
  • Fluency with Mac applications, Google Suite (familiarity with Slack, Planning Center, Zoom, 1Password preferred)
  • Excellent interpersonal and communication skills (oral and written, including spelling, grammar, punctuation)
  • An inherent desire to achieve exceptional results
  • Ability to perform and prioritize multiple tasks with attention to detail
  • Ability to track and respond to communication across multiple channels (e.g. meetings, calls, text messages, Slack, Google Docs comments) without losing details
  • Demonstrates emotional intelligence 
  • Self-starter who is well organized and proactive
  • Excellent time management skills with a proven ability to meet deadlines
  • Enthusiasm and passion to serve Bridgetown in any way needed


Bonus Qualifications:

  • 3+ years of experience in administration 
  • Valid driver’s license and viable transportation
