Administrative Coordinator / Site Support Representative
LHH Recruitment Solutions is seeking, for our client, a detail-oriented and highly organized Administrative Coordinator / Site Support Representative to support day-to-day site operations.
This position plays a critical role in ensuring a smooth and efficient workplace experience for employees and visitors through badge management, onboarding coordination, event support, and general administrative functions. The ideal candidate thrives in a fast-paced environment and takes a proactive, service-oriented approach to supporting both people and processes.
Compensation: $26.00 - $30.00 Per Hour DOE

Location: Fairport, NY 14450
Schedule / Type: Full-time, Monday-Friday - 8am - 5pm (overtime may be required, adjusted start time may be required.
Key Responsibilities
Employee Services & Site Administration
  • Manage employee and contractor badge creation, distribution, and troubleshooting, ensuring timely access and security compliance
  • Oversee locker management, including assignment during new hire orientation and coordination of turnover with supervisors
  • Support onboarding logistics, including administrative setup and facilitation of bi-weekly orientation sessions
  • Maintain communication boards and provide general administrative support across the site
Programs & Process Coordination
  • Execute QPROPS and service anniversary programs, including gift card processing and distribution
  • Ensure adherence to standard work processes and identify opportunities for continuous improvement
Event & Engagement Support
  • Coordinate catering for meetings and on-site events, including vendor management and setup
  • Support employee engagement initiatives, including Fun Committee activities and recurring programs such as Fun Friday
  • Assist with planning and execution of internal events and site-wide programs
Supplies & Vendor Coordination
  • Manage office and site supply inventory, including recurring orders and tracking
  • Coordinate with vendors and internal stakeholders to ensure timely delivery of goods and services
Qualifications
Required
  • High school diploma or equivalent
  • 2+ years of administrative, office coordination, or site support experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • High attention to detail and process accuracy
  • Ability to work independently and cross-functionally
  • Professional, proactive, and service-oriented mindset
Preferred
  • Experience supporting onboarding, facilities coordination, or workplace services
  • Experience in a corporate, manufacturing, or fast-paced operational environment
  • Exposure to event coordination, vendor management, or employee engagement programs
