Job description

The position helps provide and maintain facilities for Church members, visitors, and friends to worship, teach, learn, pray together, make and renew covenants, and receive sacred ordinances. Each Church facility should 1) Provide a spiritual setting for worship, and 2) Present an image of reverence and dignity in the community. 
This position, under the direction of the Facility Services Supervisor:

  • Assists two or more Facilities Management Groups (FMG) to help ensure timely maintenance to facilities using established processes and standards of maintenance, repair, and replacement
  • Provides administrative and clerical support to two or more Facilities Management workgroups
  • This is an individual contributor role

This will be based in Langley, BC, supporting the Vancouver area FM Group, and residence in the area is preferred. 

Work Arrangement: Onsite - candidate will work out of the Langley, BC office, with the occasional day remote/from home

  • Three years diverse clerical experience 
  • Demonstrated computer skills and experience including Microsoft Applications (Excel, Word, OneNote, Teams), and aptitude to learn other software applications as needed
  • Strong communication skills, including professional phone etiquette and effective business writing
  • Basic business accounting skills, including understanding of invoices, purchase orders, contracts
  • Organizational skills including filing, scheduling, time management and prioritization
  • Demonstrated customer service skills and an understanding of customer service principles
  • Ability to respond quickly to change, work in a fast-paced environment and develop a flexible, innovative approach to problems
  • To successfully perform the essential functions of the job there may be physical requirements which need to be met such as sitting for long periods of time and using computer monitors/equipment.
  • This remote position can be done at home or at a Church owned facility with occasional travel for region or team meetings.  Successful candidate will work within one time zone of supported FMGs with core hours between 9 am - 3 pm.  Remaining 2 hours can be worked before or after core hours.

Preferred:

  • Two years post high school education

Customer Support Focus

  • Acts as the first point of contact for all incoming phone and email queries for the FMG and responds to customers in a timely manner
  • Supports provision of access to facilities
  • Work order management and execution
  • Partners with Facility Manager, IFM provider and other team members to accomplish tasks
  • Performs other office and administrative duties as assigned

Finance Focus

  • Updates and maintains digital files for projects and other information for the FMG
  • Prepares purchase requisitions, processes invoices, prepares financial reports, tracks materials and services, communicates frequently with vendors, contractors and providers
  • Places orders for equipment and updates inventory
  • Other administrative and office duties as assigned
