Job description

Charger Logistics is looking for a Shop Parts Coordinator to support the day-to-day operations of our maintenance shop. This role is responsible for coordinating service activities, managing truck and trailer parts inventory, maintaining accurate repair records, and ensuring efficient communication between mechanics, vendors, and internal departments. The ideal candidate will have strong organizational skills, previous experience in a service or parts environment, and the ability to thrive in a fast-paced setting.

Job Duties

  • Manage and maintain truck and trailer parts inventory, including tracking stock levels and ordering parts as required.
  • Work closely with Mechanics and Service Coordinators to ensure parts are available for scheduled and emergency repairs.
  • Review all open service work orders and ensure labour, parts, and associated costs are accurately recorded.
  • Enter and maintain repair and maintenance records within the company's service management system.
  • Maintain accurate, real-time status updates on all work being performed in the shop.
  • Assist in planning daily repair and maintenance schedules and coordinate trucks requiring service.
  • Review incoming parts orders and schedule equipment for installation accordingly.
  • Handle inbound service calls and respond to repair and maintenance inquiries from internal and external customers.
  • Prepare customer invoices and process repair deductions as required.
  • Monitor Out-of-Service (OOS) truck and trailer reports and follow up to ensure timely repairs.
  • Maintain inventory records, stockroom organization, receipts, withdrawals, and documentation.
  • Manage telematics inventory within company systems and physical inventory.
  • Inspect incoming deliveries for accuracy, damage, or discrepancies and report issues promptly.
  • Coordinate with the Safety department regarding scheduled maintenance and compliance requirements.
  • Ensure company equipment remains compliant with maintenance and regulatory requirements.
  • Review mechanic expense reports and supporting documentation for approval.
  • Assist with routine inventory counts and inventory audits.
  • Pick up parts from dealerships or suppliers when required.
  • Maintain a professional and customer-focused approach when communicating with internal departments, vendors, and customers.
  • Perform other related duties as assigned.

Requirements

    • College diploma or post-secondary education preferred.
    • Minimum 1 year of experience in a Service Advisor, Parts Coordinator, Service Coordinator, or similar role.
    • Previous experience in the heavy truck, transportation, automotive, fleet maintenance, or repair industry is considered an asset.
    • Knowledge of truck and trailer parts, inventory management, and service operations.
    • Strong organizational and multitasking skills with the ability to prioritize work in a fast-paced environment.
    • Good mechanical aptitude and understanding of repair processes.
    • Excellent verbal and written communication skills.
    • Strong computer skills, including Microsoft Office and service or inventory management systems.
    • Positive attitude, strong work ethic, and attention to detail.
    • Willingness to work extended hours and weekends when operationally required.
