Shipping & Receiving Coordinator

Shipping/Receiving Coordinator keeps records on incoming and outgoing shipments and prepares items for shipment in accordance with quality and production standards. Ensures efficient use of storage space to optimize flow of raw materials to production line and finished goods to the customer’s destination. Specific responsibility for bills of lading, coordinating associated paperwork, provide direction to other personnel related to the movement of materials for finished goods, and ensuring shipments are complete and on time.

  • Schedules and coordinates inbound and outbound appointments with vendors and supply chain.
  • Directs carrier drivers upon reporting to Shipping and Receiving office.
  • Coordinates the movement and location of all incoming components and raw materials.
  • Coordinates inventory receiving activities including all label receiving.
  • Oversees and assists with the transferring of finished goods to the supply chain network.
  • Assists with the return to stock of raw components.
  • Files copies of orders received shipments and post orders on records.
  • Maintains a clean and safe work environment.
  • Assists with forklift operations as needed.
  • Responsible for resolving any discrepancies between shippers’ packing list and quantities received before being entered into warehouse management system.
  • Prepares all documents and physical assignments necessary for shift to perform efficiently and productively daily.
  • Notifies logistics team of equipment shortages or other related issues.
  • Completes bill of lading, packing list, seal assignment, and bar code assignments for each order.
  • Cross trains and assists with back up clerks when necessary.
  • Complies with SOPs, GMPs, safety rules and regulations, and departmental procedures.
  • Provides leadership to enhance performance of department and take charge in the absence of the supervisor.

Knowledge-Skills-Abilities

Education:

  • A High School Diploma (or GED) is required.

Experience:

  • 2 - 3 years in a warehouse environment or in a similar role, preferably with paperwork administration experience.
  • 2 years of operating a forklift in a fast-paced manufacturing environment
  • Proven experience with high volume transactions and meeting strict deadlines.
  • Ability to work in fast paced environment with changing dynamics.
  • Must have ability to work well under pressure.
  • Excellent organization and time management skills
  • Self-motivated and having a strong work ethic with focus on detail and accuracy.
  • Ability to use arithmetic (basic addition, subtraction, multiplication, and division)
  • Strong decision-making skills with the ability to adapt and quickly respond to unforeseen changes.
  • Able to manage oneself when always interacting with anyone in a productive and respectful manner.

Communication:

  • Ability to understand and communicate written and verbal instructions.
  • Must have effective communication skills to productively interact with others and complete duties as expected.
  • Bilingual English/Spanish preferred.

Physical Requirements:

  • Health and physical state are to allow for considerable amounts of diverse types of manual labor, including but not limited to extended time periods of standing, walking, rotating, lifting various weights, and use of all limbs on a regular basis and on demand.
  • Able to properly and safely be aware of surroundings using as many of the five senses as possible to not be in harm’s way of injury to self or injury to others.
  • Capable of tolerating warehouse environment noises that are loud, recurring, hurried, and in multiple languages at times.
