Position Summary
Reporting to the Director, Campus Services, the Manager, Logistics provides strategic and operational leadership for the College's Logistics unit, overseeing General Service Workers, Centralized Shipping and Receiving, and Mailroom Services. This role ensures the efficient, safe, and customer-focused delivery of logistics services across Bow Valley College locations.
The Manager, Logistics leads the planning, coordination, and continuous improvement of day-to-day operations while optimizing people, resources, equipment, space, and budgets. The role also oversees space, furniture and asset management, archives, project coordination, vendor relationships, and related purchasing activities. Working closely with departments across the College, the Manager ensures logistics services support institutional priorities and create a positive experience for students, employees, and external partners.
As a people leader, you will build a culture of accountability, collaboration, teamwork, and exceptional customer service. You will develop strong relationships with internal and external stakeholders and identify opportunities to improve processes, manage costs, and strengthen the quality and efficiency of logistics services.
What You'll Be Doing:
Leadership, Team Development & Operations
Lead and develop the Logistics team by establishing priorities, allocating resources, scheduling work, and ensuring employees have the direction, training, and support required to deliver high-quality services. You will recruit and onboard employees, manage performance, provide coaching and feedback, support professional development, and address performance concerns in accordance with College policies and applicable collective agreements.
You will establish annual goals and deliverables aligned with institutional priorities, manage operational budgets, and ensure resources are used effectively. You will also contribute to the broader Campus Services leadership team, represent the area on committees, and maintain strong working relationships across the College and with external stakeholders.
Key responsibilities include:
Providing day-to-day leadership and direction to Logistics staff and contractors.
Managing staffing, scheduling, overtime, vacation, performance, training, and employee development.
Supporting recruitment activities, including job descriptions, interview processes, candidate evaluation, and selection.
Applying relevant collective agreement provisions and representing management in employee-related matters.
Developing and monitoring budgets, business cases, goals, and operational deliverables.
Ensuring compliance with College policies, legislation, regulations, privacy requirements, and applicable standards.
Investigating and responding to operational and privacy-related incidents within the portfolio.
Identifying opportunities to improve policies, procedures, service levels, and operational efficiency.
Shipping, Receiving & General Services
Oversee the daily operations of Centralized Shipping and Receiving, Mailroom Services, warehousing, distribution, and General Service Workers. You will ensure deliveries, work orders, furniture moves, equipment requests, and other logistics services are completed accurately, safely, efficiently, and in a timely manner.
You will coordinate with suppliers, contractors, departments, and internal teams to resolve issues and maintain reliable service across the College. This includes overseeing furniture and equipment moves, office and classroom setups, event support, ergonomic installations, signage, product assembly, repairs, and the distribution of College supplies and materials.
You will also:
Monitor shipping, receiving, warehousing, and distribution activities and resolve discrepancies.
Ensure the security and appropriate storage of equipment and materials.
Coordinate inventory purchases and maintain appropriate stock levels.
Promote awareness and effective use of College mail and centralized receiving services.
Coordinate and oversee work orders and general service requests across College locations.
Plan furniture moves, event setups and teardowns, office relocations, and classroom and meeting room configurations.
Coordinate ergonomic installations and internal and external signage requirements.
Ensure services comply with established procedures, financial controls, and audit requirements.
Vendor & Service Management
Manage logistics-related contracts and maintain productive relationships with contracted service providers and suppliers. Working collaboratively with Facilities, Procurement, Finance, and other partners, you will support effective purchasing, contract administration, supplier performance, and timely resolution of service issues.
You will regularly evaluate service levels, identify opportunities to improve productivity and quality, and provide feedback to vendors to strengthen customer service. You will also coordinate Logistics resources to support contracted services and special projects as required.
Space, Furniture & Project Management
Lead and coordinate space and furniture initiatives that support effective use of College facilities and resources. This includes analyzing space utilization, occupancy trends, layouts, and departmental needs to develop practical solutions that improve workflow, collaboration, cost efficiency, and the experience of students and employees.
You will manage furniture and space-related projects from planning and design through installation and occupancy, coordinating internal teams, consultants, contractors, and stakeholders. Responsibilities include:
Developing project scopes, budgets, schedules, space allocation, and decanting plans.
Coordinating furniture installation, moves, technology integration, and occupancy activation.
Monitoring project progress, budgets, purchase orders, documentation, and deliverables.
Identifying and resolving project issues while minimizing operational disruption.
Coordinating with Facilities Managers on installation and construction activities.
Reviewing furniture plans for alignment with specifications and College standards.
Supporting safety requirements and conflict resolution throughout project delivery.
Planning and coordinating logistics for special events and other operational projects.
Maintaining accurate space management data, systems, and reporting.
Asset & Archive Management
Oversee the College's furniture and asset management practices to maximize the effective use of existing resources and support responsible lifecycle management. This includes maintaining accurate inventories, tracking asset condition and location, coordinating storage and repurposing, and working with Finance to ensure assets are appropriately decommissioned, disposed of, sold, or donated in accordance with policy.
You will also manage the College's onsite archive inventory and records storage processes, ensuring records are organized, accurately inventoried, retained, transferred, or disposed of in accordance with records management requirements. This includes maintaining retention schedules, coordinating with the Offsite Archive Centre, and providing required documentation and reporting.
Policy, Process & Continuous Improvement
Develop, update, and implement policies, procedures, and operational practices that support effective Logistics services. You will educate departments on centralized receiving and procurement processes, monitor compliance, and ensure employees understand changes to procedures.
A key part of the role will be identifying opportunities to streamline workflows, improve productivity, reduce costs, strengthen controls, and enhance customer service. You will use operational reports, work logs, service data, and stakeholder feedback to evaluate performance and implement meaningful improvements.
What Sets You Apart
You are an experienced operations leader with a strong background in logistics, facilities services, space or asset management, or a related environment. You have demonstrated experience leading and developing teams, managing operational priorities and resources, and fostering a culture of accountability, collaboration, safety, and exceptional customer service.
You bring strong experience with budgets, contracts, vendors, purchasing, inventory, work orders, and operational processes, along with the ability to identify efficiencies and implement practical improvements. Experience with space, furniture, asset, archive, or project management is highly valued. You are organized, analytical, and solutions-oriented, with strong project management and decision-making skills.
You are a confident communicator and relationship builder who works effectively with employees, leaders, contractors, suppliers, and diverse stakeholders. You are comfortable developing and implementing policies and procedures, managing change, addressing performance matters, and ensuring compliance with applicable policies, legislation, and regulations. Above all, you bring a collaborative, service-focused approach and the ability to balance day-to-day operational demands with longer-term organizational priorities.
Qualifications:
Minimum
Bachelor's Degree - Purchasing, Materials, Business, Logistics.
3 years of relevant work experience.
An equivalent combination of directly related education and experience may be considered
Driver's license with clean and current driver's abstract.
WHMIS, TDG, First Aid
Physical Requirements:
May be required to lift or move materials and loads weighing up to 50lbs with and without mechanical assistance
May be required to work at heights above floor level, e.g. on a step ladder or raised platform
Preferred:
Business Experience, Operations Management, Logistics, Leadership, FF&E
Warehouse operations is also an asset, customer service
5 Years of experience
Knowledge of related computer applications - Microsoft Office, Agresso, Adobe, D365, Workday
