Position Summary

Mainspring Wealth Advisors, LLC is seeking an Operations Coordinator to support day-to-day business operations, internal coordination, events, marketing initiatives, and firm-wide administrative projects. This role is ideal for someone who is highly organized, proactive, adaptable, and comfortable supporting multiple priorities in a fast-paced professional services environment.

The Operations Coordinator will work closely with the COO, Business Services Manager, and HR Manager to help ensure internal processes, events, communications, and operational projects are completed smoothly and on time. The person in this role should be comfortable taking initiative, following through on details, coordinating across teams, and helping improve the experience of both internal and external clients.

 

Position Overview

The Operations Coordinator plays an important support role in the daily operations of the firm. This position assists with event logistics, marketing and social media coordination, team support, onboarding-related tasks, office systems, and administrative projects. The role requires strong communication skills, attention to detail, comfort with technology, and the ability to shift between priorities while maintaining a high level of professionalism.

 

Key Responsibilities

Operations & Administrative Support

  • Support day-to-day operational tasks and administrative projects across the firm.
  • Coordinate projects assigned by the COO, Business Services Manager and HR Manager
  • Support onboarding-related tasks for new team members
  • Provide administrative support for firm-wide initiatives and special projects.

Events & Employee Engagement

  • Assist with planning, coordinating, and executing firm events, meetings, volunteer activities, and team-building initiatives.
  • Coordinate event logistics, communications, vendors, materials, and attendee tracking.
  • Support post-event follow-up and continuous improvement efforts.

Marketing & Social Media Coordination

  • Assist with implementation of marketing initiatives and social media efforts.
  • Coordinate with external marketing partners on content, scheduling, and website updates.
  • Support content gathering, brand awareness efforts, and marketing-related projects

Office Systems & Vendor Coordination

  • Support administration of office systems, including phone and security platforms.
  • Coordinate with vendors and internal teams to help maintain efficient office operations.
  • Track service needs, system updates, and related documentation

Other Duties

  • Assist with cross-functional projects and operational support as needed.
  • Perform other duties and special projects as assigned.


Qualifications & Experience

  • Experience in operations, administrative coordination, marketing support, event planning, or project coordination preferred.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and follow through on tasks with minimal supervision.
  • Strong written and verbal communication skills.
  • Comfortable coordinating with multiple team members, vendors, and outside partners.
  • Ability to take initiative, ask thoughtful questions, and anticipate next steps.
  • Comfortable using technology, virtual meeting platforms, and scheduling systems.
  • Proficiency with Microsoft Word, PowerPoint, Excel, Adobe, Canva, or similar tools.
  • Experience with WordPress, Adobe Illustrator, Canva, or social media scheduling platforms is a plus.
  • Ability to maintain professionalism, discretion, and confidentiality.
  • Bachelor’s degree preferred, or two years of relevant experience.
