The University of Miami/UHealth Department Medical Student Education has an exciting opportunity for a full-time Sr. Program Coordinator to work in Miami, FL. The Senior Program Coordinator provides administrative support to faculty and acts as a liaison between faculty, students, and other Universities. This position assists in the development, monitoring, and reporting of departmental budgets.


CORE JOB FUNCTIONS

  • Works closely with students to continuously evaluate their learning experience and improve quality and value of the program.

  • Registers students for courses using University procedures and systems.

  • Acts as an academic advisor for students in the program and as a career advisor for prospective and continuing students.

  • Develops strategic partnerships with external entities and organizations.

  • Creates monthly budget reports to ensure operations are within plan.

  • Assists with database maintenance and enrollment management.

  • Ensures administrative processes and associated forms for instructor services are completed in a timely manner.

  • Responds to various instructor requests and telephone, email, and internet submissions for all programs.

  • Prepares faculty payroll for the program.

  • Plans and participates in open houses for the department.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specific Functions

The Admissions Coordinator provides general support for the day-to-day operations in the Admissions Office. Moreover, the incumbent assists with the development, organization, and execution of Admissions programs to achieve its mission, goals, and objectives. An employee in this position demonstrates familiarity with university policies and procedures and ensures compliance.

General Admissions Duties

  • Use established systems and tools proficiently to execute established admission policies and procedures.

  • Develop knowledge of admissions policies and provide exceptional customer service via telephone, e-mail, and on-campus visits as needed.

  • Manage relationships with prospective students including answering application questions while adhering to FERPA.

Admissions Committee & Selection

  • Provide administrative support to the Associate Dean of Admissions in the recruitment, onboarding, and training of a diverse admission committee.

  • Supports the scheduling of interviews for an average of 700 applicants and 100+/- faculty members of the admissions committee.

  • Facilitate scheduled interviews using multiple video conferencing and scheduling platforms.

  • Attend the admissions committee meetings and support with meeting recordings/meetings and communications as needed.

Recruitment, Retention, & Marketing

  • Assists with annual marketing, recruitment, and retention strategies.

  • Assist with planning, coordinating, and executing Second Look Events and Campus Tours

  • Support Manager of Admissions with annual review of marketing and communications.

Data & Systems Management

  • Assists the Enrollment Management Leadership team with data retrieval and analysis.

  • Collaborates with CaneLink IT specialist and MED IT programmer to ensure their systems are ready to receive new applications.

  • Works with the Director of Enrollment Management to recommend areas of improvement user platforms and implement innovative solutions.

Data & Systems Management

  • Develop expertise in application management system to provide support and training to Admissions Committee.

  • Assist with training Admissions Committee members on system upgrades and processes.


Preferred Knowledge, Skills and Attitudes:

  • Experience with Client Relationship Management (CRM) systems

  • Proficiency in Microsoft Excel and data management
