Job description

Position Description: Who We AreHispanic Federation (HF) is the nation's premier Latino nonprofit membership organization. Founded in 1990, HF supports Hispanic families and strengthens Latino institutions through grant making and direct services in the areas of education, health, immigration, civic engagement, economic empowerment, and the environment. Who We SeekHispanic Federation (HF) seeks a Program Administrator to support data and document collection, review submitted programmatic and financial materials, and ensure that grant repayment requests are accurate and in line with HF’s internal protocol for public sector funds. The administrator will liaise with subgrantee organizations and work closely with them to ensure their submissions are correct and timely. The administrator tracks data provided by the partner agencies and files all documents required for future reports, audits, and site visits. Additionally, they will work collaboratively with HF’s internal departments to ensure reporting is sufficient to issue payments.The successful candidate will have an understanding of program administration and payment processing, experience working with communities of color, and a commitment to social justice. The program administrator will work with a diverse coalition of network agencies, government agencies and officials, and internal departments under the supervision of the Senior Immigration Grant Administrator.This position is hybrid which requires at least 10 days per month onsite as a minimum, and at least one day a week. The administrator may be required to work offsite while completing site visits with community partners and participating in other programs, as necessary. Position Location: New York City HeadquartersReports to: Senior Immigration Grant AdministratorStatus: The position is full time, regular, until August 2027 with a possibility for extensionJob Duties and ResponsibilitiesPerform detailed reviews and analyses of subgrantee program budgets, financial reports, and supporting documents.Review submitted documentation to ensure compliance with grant requirements, applicable state and federal regulations, and HF’s organizational policies as outlined.Collaborate with HF program and finance teams to address discrepancies in reporting and recommend corrective actions.Provide technical assistance to subgrantees on financial reporting and budget management, ensuring expenditures remain on track, resources are allocated appropriately, and grant funds are fully and effectively utilized within the grant period.Identify opportunities and offer recommendations for process improvements within subgrantees' fiscal operation to the Senior Immigration Grant Administrator and other program leads.Prepare documentation and payment from subgrantees for submission to HF’s finance department, support in securing requested backup to release funding as goals are met. Schedule site visits or meetings as necessary to ensure subgrantees are on track to succeed.Understand grantmaking and vouchering processes and support network agencies, serving as the point of contact for them, in this process.Support the preparation and delivery of quarterly trainings on fiscal procedures, including the development of training materials and presentations.Undertake additional administrative responsibilities as needed to support program operations.Required Skills and QualificationsBachelor’s degree, preferably in Business Administration or Public Administration, and at least two (2) years of related experience working with a nonprofit supporting community-based organizations.Experience specifically around reporting and public administration is an asset.Experience with the administration of budgets and financial resources with a focus on effective tracking, allocations, and reporting of funds.High attention to detail and focus as it relates to financial tracking and processes and compliance is critical. Analytical skills with the ability to interpret and assess financial data, identify trends, and provide recommendations for improvements.Strong proficiency in Microsoft Excel and working knowledge of Microsoft Office (Word, Excel, PowerPoint, Teams) and other relevant software for financial tracking, reporting, and data management. Ability to work independently and collaboratively in a team-oriented environment.Ability to prioritize, multi-task, and meet deadlines.Excellent communication skills with strong research and writing experience is required.Ability to speak, read and write in Spanish is an asset.Experience with presentation and public speaking. Demonstrated commitment to advancing the Hispanic Federation’s values, mission, and goals.Compensation and Benefits:The position’s annual salary starts at $55,000-$65,000, and the salary is commensurate with experience.Compensation comes with a robust benefits package with fully subsidized medical, dental, vision insurance, 403(B) retirement plan – eligible for a company match, access to flexible spending and pre-tax commuter benefits.
