Job Description

 

Principle Function: The Administrative Assistant works with a team of volunteers to assist the church staff through clerical and organizational support in accordance with established office policies and procedures

Confidentiality: Because of the nature of her/his position, the Administrative Assistant may become aware of sensitive information regarding church members and others connected to the church. Furthermore, the Administrative Assistant has access to the giving records of those who contribute to the work of the church. Therefore, it is of the utmost importance that the Administrative Assistant zealously protect the confidentiality of church members in all matters. 

Supervised by: Senior Pastor

Status: Part-time (15 Hours/week, possibly adjusting to 20 hours/week, if necessary)

Qualifications: High school diploma or equivalent; associate or college degree preferred.  At least 2 years of experience in the field or in a related area.  Knowledge of office management systems and procedures.  Excellent time management skills and ability to multi-task and prioritize work.  Attention to detail and problem-solving skills. Excellent written and verbal communication skills.  Strong organizational and planning skills.  Proficient in MS Office (including Publisher), email, GMail, Google (Docs, Drive, Calendar), Adobe, and Database Management.  The candidate must not be a member of Woodhaven Baptist Church.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO THE FOLLOWING:

The following duties must be carried out by the Administrative Assistant.

1.        Facilitate the effective functioning of the day-to-day operation of the administrative services necessary to carry out the church’s work.

2.        Assist the Senior Pastor with planning and conducting staff meetings, which involves updating relevant analytics and preparing the meeting agenda.

3.        Nurture a positive office environment to support the pastoral staff in carrying out the mission and vision of the church.

4.        Maintain accurate individual giving records of those contributing to the work of the church and distribute individual giving statements to donors in a timely and confidential fashion.

5.        Take part in recruiting and training office volunteers.

6.        Coordinate the scheduling and duties of office volunteers in accomplishing the responsibilities on this list.

The following duties may be carried out by the Administrative Assistant or office volunteers, as needed.

7.        Organize the church office for effective operation.

8.        Function as receptionist, i.e., answer the telephone, greet visitors.

9.        Open, sort, date, and distribute mail. Attend to correspondence requiring the pastoral staff’s attention.

10.     Provide clerical support for the church staff, as needed.

11.     Assist staff in daily tasks and special projects as deemed appropriate by supervisor.

12.     Organize and maintain the central church filing system.

13.     Keep visitor packets updated and stocked for distribution

14.     Process invoices according to policy and procedures

15.     Update and implement internal and external communications of the church through church publications, email, social media, phone and similar communications systems.

16.     Coordinate the church calendar of events and activities in cooperation with the pastoral staff, church organizations, ministries and approved non-profit groups authorized to use the church facility.

17.     Record approved dates for church meetings, events, weddings, and other activities.

18.     Inventory and order office supplies, offering envelopes and other supplies as needed and as requested by responsible church leaders.

19.     Order maintenance on office equipment as needed.

20.     Work with the Senior Pastor and Personnel Ministry to implement and update appropriate office policies and procedures.

21.     Work with the church staff to produce bulletins and other printed aids for worship services.

22.     Maintain all records with regard to membership in the church and maintain mailing lists for church-related programs in accordance with church policy and procedure.

23.     Respond to benevolence requests by referring them to ministerial staff or taking information for later attention.

24.     Respond to reported ministry needs of the church family by taking information and notifying appropriate ministerial staff and lay-leaders.

25.     Prepare quarterly church conference reports.

26.     Perform other reasonable duties as assigned by the church staff or requested by church members once approved by church staff.
