Job Summary:

The Senior Lease Administrator is a subject-matter expert responsible for overseeing complex lease administration tasks, ensuring data accuracy, and providing guidance to junior team members. This role supports the full lifecycle of lease management, from abstraction through compliance, reporting, and financial stewardship across the real estate portfolio.


KEY RESPONSIBILITIES


Lease Abstracting and Data Management

Review, interpret, and abstract complex commercial lease agreements, amendments, terminations, estoppels, SNDA documents, and ancillary real estate contracts.

Ensure 100 percent accuracy of financial, operational, and critical-date data entered into the lease administration system.

Oversee periodic portfolio audits to validate data integrity and ensure all documentation is up to date, accurate, and compliant with organizational requirements.


Financial Administration and Reconciliation

Manage advanced lease financial obligations, including base rent, CAM, taxes, insurance, percentage rent, and other pass-through charges.

Lead annual CAM, tax, and operating expense reconciliation review processes: investigate anomalies, challenge incorrect billings, and negotiate resolution with

landlords.

Prepare and approve high-value payment requests, ensuring alignment with lease terms and internal controls.


Critical Data Management

Maintain and monitor critical dates including renewals, expirations, options, rent steps, termination rights, and notice provisions.

Proactively notify internal stakeholders of upcoming deadlines and ensure required actions are completed on schedule.

Oversee junior staff managing routine critical-date processes and escalate time-sensitive or high-risk matters.


Portfolio Oversight and Issue Resolution

Serve as the primary escalation point for landlords, property managers, and internal stakeholders for complex or disputed lease issues.

Independently analyze and resolve disputes related to billing, landlord compliance, operating costs, and lease interpretation.

Provide recommendations to management regarding opportunities to reduce costs or mitigate risk.


Compliance and Internal Controls

Maintain thorough documentation of all decisions, approvals, and communications to support audit readiness.

Support internal and external audits by providing accurate documentation, reconciliations, and portfolio reporting.


Reporting and Portfolio Analytics

Prepare standard and ad hoe reports summarizing portfolio performance, rent obligations, occupancy status, cost variances, and reconciliation outcomes.

Support budgeting and forecasting activities by supplying accurate lease-related financial inputs.


Cross-Functional Collaboration

Work closely with Real Estate, Legal, Finance, Tax, Construction, and Operations teams to support portfolio decisions including renewals, relocations, closures, and expansions.

Interpret lease terms for business partners and advise on financial or operational implications.

Collaborate with Legal on disputes, amendments, and high-risk lease terms that require formal review.


Training, Mentoring and Quality Control

Provide guidance, technical support, and training to Lease Administrators and Analysts.

Conduct peer reviews of abstractions, reconciliations, and financial entries to ensure accuracy and consistency across the team.

Serve as a subject matter expert on lease administration processes, system utilization, and best practices.


System Utilization and Continuous Improvement

Utilize lease administration software (Tango & REX) to manage lease data, reporting, and workflows.

Lead or participate in system enhancements, testing, and process improvement initiatives to increase efficiency and accuracy.

Identify operational gaps and propose solutions that streamline portfolio management activities.


Landlord & Tenant Relationship Management

Serve as primary point of contact for landlords and Tenants regarding rent, lease interpretation, and billing issues.

Manage escalations and facilitate resolutions to operational or financial disputes.

What You'll Bring (Requirements):

  • 2-5 years of experience in commercial/retail real estate.
  • Associates degree, or higher preferred.
  • Property management experience is a plus.
  • Strong proficiency in MS Excel; comfortable with MS Office Suite.
  • Excellent verbal, written, and listening communication skills.
  • Exceptional customer service skills and a detail-oriented mindset.
  • Highly organized with the ability to prioritize effectively and meet deadlines.
  • Proactive and positive attitude with the ability to multitask and learn quickly with minimal supervision.
  • Strong sense of urgency, accountability, and follow-up on pending issues.
  • Experience with reconciliations, accounting basics, and financial calculations preferred.
