Our Home Office in Salem, Oregon is recruiting for an experienced, results-driven Administrative Assistant to additionally support our Director of Development and Interior Designer. We are looking for someone with the ability to anticipate needs and quickly adapt to changing priorities. You should be self-motivated and pride yourself in regularly meeting or beating deadlines. Exemplary administrative, organization, and problem-solving skills are necessary, as well as the ability to critically review reports and other documents.

The Development Assistant works closely with the Director of Development to communicate necessary procedures, tasks and deadlines to ensure the successful completion of development projects.

Key Responsibilities (Development):

  • Meet with Director of Development and Interior Designer daily to review current tasks. This entails updating and maintaining the Director’s agenda and prioritizing duties based on importance and deadlines. 
  • Check-in daily with each Development Team Member and assist with tasks as necessary and assess progress for Director. Tasks include phone calls, preparing for postal delivery, typing documents, setting up file folders, photocopies, scanning documents, binding materials, faxing documents, scheduling and coordinating various meetings and conference calls and processing e-mails.  Establish order of priority and due dates for all tasks. Must be prepared to take on new tasks as they arise and prioritize them accordingly.
  • Field outside calls from front desk, team members’ voicemail and home office development questions.
  • Process and distribute incoming mail to the appropriate Team Member or department.
  • Process invoices and reconcile monthly credit card statements to appropriate Project Manager.
  • Update and maintain weekly Development Agenda and attend each meeting. 
  • File Management; update and organize all electronic and hard files
  • Assist with management of Development Schedules.
  • Housekeeping/organization of Development Department

Key Responsibilities (Interior Design):

  • Assist with Interiors Design projects
  • Prepare, send out and track price quotes from vendors
  • Create Orders manifest, place and track purchase orders for Interiors and Operations. 
  • Manage warehouses receiving reports and installation vendors.
  • Track and receive items for projects that have been shipped to the home office. Mark packages with project name and place in storage rooms.
  • Assist with multi-day Interior installs. Will involve occasional travel and physical work.
  • General team participation with overall office management and housekeeping.
  • Responsible for vendor invoices, process for accounting
  • Responsible for monthly credit card Project receipt processing

Requirements:

  • Strong written and verbal communication skills with attention to detail.
  • Great customer service skills
  • Self-directed problem solver: takes initiative, proactively addresses problems; can work with minimal oversight once familiar with job requirements.
  • Proficient in Microsoft applications including Outlook, Word, and Excel.
  • Team Player; demonstrates ability to work within cross-functional teams, in a support role.
  • Highly organized and flexible; with the ability to prioritize multiple projects and meet deadlines, often with frequent interruptions and changing circumstances, in a high volume, fast-paced work environment.
  • 2-years successful experience in an administrative and clerical support role with increasing responsibilities
  • Minimum High School Diploma, post High School education a plus.
  • English language required.
  • Must pass criminal background check and drug test.
