Role Objective:


The Lead International Flight Dispatcher is responsible for overseeing and coordinating the safe, efficient, and timely operation of global private jet charter flights while providing leadership and guidance to the dispatch team. This role requires extensive knowledge of international aviation regulations, operational control, flight planning, and customer service excellence. The Lead Dispatcher serves as a senior operational resource, ensuring seamless coordination between clients, flight crews, maintenance teams, vendors, and regulatory authorities while supporting departmental performance, training, and operational consistency.


Essential Job Tasks:


Flight Planning and Coordination

  • Create and file comprehensive flight plans, considering weather, airspace restrictions, fuel requirements, aircraft performance, and operational limitations. 
  • Ensure compliance with international aviation regulations, customs, immigration requirements, and company operational standards. 
  • Coordinate with Air Traffic Control (ATC), international handlers, and third-party vendors to secure permits, slots, overflight clearances, and airport services. 
  • Manage route optimization for operational efficiency, safety, and cost-effectiveness. 
  • Review and approve dispatch releases, flight planning accuracy, and operational documentation prepared by dispatch personnel. 

Operational Leadership and Management

  • Monitor all aspects of flight operations in real-time, ensuring operational continuity and timely response to disruptions. 
  • Serve as the primary escalation point for complex operational issues, irregular operations, and emergency situations. 
  • Provide leadership, mentorship, and training support to International Flight Dispatchers and Flight Operations Coordinators. 
  • Assist with scheduling coverage, workflow management, and department coordination to ensure operational efficiency. 
  • Collaborate with maintenance teams to coordinate aircraft maintenance events and maximize aircraft readiness and utilization. 
  • Maintain direct communication with flight crews, providing operational updates, weather advisories, and routing changes as necessary. 

Customer Service and Communication

  • Serve as a senior point of contact for clients and internal stakeholders regarding operational matters and special requests. 
  • Ensure timely and professional communication regarding itinerary changes, delays, and operational updates. 
  • Foster strong relationships with vendors, regulatory authorities, and corporate clients to support global operations and service excellence. 
  • Support VIP trip coordination and ensure exceptional customer service standards are maintained throughout all operations. 

Compliance and Documentation

  • Ensure all flights comply with applicable FAA, ICAO, EASA, and other international regulatory requirements. 
  • Maintain accurate operational records, permits, flight logs, and dispatch documentation. 
  • Assist in developing and maintaining standard operating procedures (SOPs), training materials, and operational best practices. 
  • Stay informed about geopolitical developments, weather systems, travel advisories, and international restrictions affecting operations. 
  • Support internal audits, safety initiatives, and compliance programs.

Work Environment:

  • Work is generally performed within an office environment at the company office in Ocoee, Florida with standard office equipment available, as well as at outside customer events. 
  • Work may also be performed remotely, as operational demands require availability outside standard office hours. 
  • Flexible work hours, including nights, weekends, holidays, and on-call responsibilities, are required to support global operations. 
  • Ability to work in a high-stress environment with rapid decision-making requirements. 
  • Remote or on-site opportunities available depending on company policy and operational needs.

Physical Demands:

  • Must be able to remain in a stationary position 50% of the time. 
  • Frequently operate computers, phones, and office productivity equipment. 
  • Ability to communicate effectively with customers, crew members, vendors, and internal personnel. 
  • Light physical effort required by handling objects up to 20 pounds occasionally and/or 10 pounds frequently.

Required Education/Experience:


Bachelor's degree in Aviation Management, Aviation Operations, Logistics, or a related field preferred.


Experience:

  • Minimum of 5+ years of experience in flight dispatch or aviation operations with significant international operations experience. 
  • Previous leadership, supervisory, or team lead experience preferred. 
  • Strong knowledge of Part 135 operations and private jet charter operations highly preferred. 
  • Experience coordinating international permits, customs, and global operational logistics required. 

Certifications:

  • FAA Aircraft Dispatcher Certificate preferred. 
  • ICAO-based licensing or additional operational certifications are a plus.
