Overview

The Event Services Coordinator supports the Senior Event Sales Manager by overseeing the detailed planning and execution of events from the moment a contract is secured through the final stages of preparation. This role serves as a primary point of communication for clients, ensuring every detail is accurately documented, confirmed, and communicated to both the client and internal hotel departments.

Success in this position requires exceptional organizational skills, outstanding communication, and an unwavering attention to detail-because every detail matters. The Event Services Coordinator prepares comprehensive event orders, maintains accurate event files, coordinates timelines, updates client information, and ensures all event specifications are clearly communicated to operations teams. They assist with client correspondence, answer questions, manage changes, and help create a seamless planning experience while ensuring all departments are aligned for flawless event execution.

Additional responsibilities include preparing event documentation, maintaining organized records, assisting with administrative tasks, and supporting the Senior Event Sales Manager with day-to-day event coordination. The Event Services Coordinator plays a vital role in delivering the exceptional service and memorable experiences that have quickly made The Cottonwood known for hosting truly breathtaking events.

Qualifications
  • High school diploma or equivalent.
  • Previous hospitality, event planning, hotel, or administrative experience preferred.

  • Highly organized with exceptional attention to detail-because every detail matters.
  • Able to manage multiple priorities while maintaining accuracy and a positive attitude.
