The Role at a glance:

We are looking to add an experienced, motivated Senior Event Producer our Constellation Culinary team in Miami, FL. The Senior Event Producer is responsible to work in partnership with the Director of Catering, Sales Managers as well as the General Manager to enable the execution of private events. The Senior Event Producer leads a team of Event Managers and oversees event production for larger, off-premise catering events, ensuring events are successful and exceed client and guest expectations. The SEP's role involves a range of responsibilities including planning, budgeting, vendor management, on-site event management and post event analysis. 

What you'll be doing:
  • Oversees event production for larger-scale, off-premise catering events, coordinating team assignments and working directly with the client on all event logistics - from operations through breakdown - while ensuring execution standards are met across all events under their purview.
  • Develop supervisor packets and all event paperwork for their own events, producing concise information and directions for on-site event staff. Oversee Event Managers' paperwork to ensure execution against standards, coaching and adjusting team members as needed.
  • Liaise with third party vendors, as necessary, to manage all event rentals or services related to the event. Negotiate vendor rental costs and rates, and build pricing structures accordingly to ensure profitability.
  • The Senior Event Producer takes ownership of the BEO from the sales team following the close of sale, communicating with the client about production details and directing the team to execute the client's and sales' vision.
  • Serve as the primary point of contact for the client, venue, and vendors throughout event set-up and breakdown, and must be strong, confident communicators, working directly with the client while effectively coordinating with sales, culinary, warehouse, and captains from the staffing department to ensure all stakeholder needs are met.
  • Identifies potential risks or challenges associated with the event and develop contingency plans to mitigate risks and ensure successful event execution. This involves developing emergency plans and anticipating any possible scenarios that could impact the event's success.
  • The SEP directly supervises Event Managers, including hiring input, coaching, performance management, development, scheduling, and event execution oversight
  • The SEP must have excellent verbal and written communication skills to liaise with clients, vendors, and team members.  
  • Coordinate with various vendors and suppliers to ensure that everything required for the event is available and fully operational.  
  • Ensure that the captain is equipped to receive outsourced equipment and inventory it prior to the event and to ensure that all equipment is returned as delivered.  
  • Responsible for conducting a post -event analysis, gathering feedback from stakeholders, analyzing data and identifying the areas for improvement. Serves as client point person post-turnover for all production-related conversations, including attending walk-throughs, leading tastings, and communicating logistical needs and timelines.
  • Senior Event Producer must stay updated with industry trends, new technologies and best practices, to deliver events that meet the client's expectations and exceed the competition.  
  • Monitors the effective resolution of guest issues that arise through the event execution process, by creating mechanisms to channel issues to property leadership and/or other stakeholders, with appropriate follow up with outcome and resolution.
  • Identify operational problems that impact the effectiveness of overall execution and work closely with DOS, and/or appropriate Departments on solutions, as directed. 
  • All other responsibilities and duties assigned by direct supervisor.

Financial Performance 

  • Ensure that unit level budgeted goals are met or exceeded.  
  • Oversee budget performance across the team's portfolio of events, not just individually managed events
  • Creatively find ways to stay within the designated budget per event, while meeting stakeholder needs.
  • Collect and submit all appropriate invoices, to ensure timely payment 
What we're looking for:
  • Bachelor's Degree preferred
  • 8+ years of experience in event planning, sales, or event management  
  • Ability to manage events from conception to execution, multitask and manage multiple events concurrently  
  • Professional and Effective client communication with all levels of event stakeholders: C-suite to internal ops departments  
  • Excellent time management skills to meet deadlines, manage priorities and adapt to last-minute changes.  
  • Demonstrated ability to manage multiple priorities, work in a hands-on environment, and maintain high standards of execution in a fastpaced setting.
  • Ability to quickly pivot and remain calm in a fast paced environment  
  • Ability to work evenings, weekends, holidays, and extended hours as required by event schedules and business needs.
  • Experience managing complex catering events with budgets exceeding $150K and guest counts of 1000+ preferred.
  • Previous leadership experience supervising Event Managers, Captains, or other event operations personnel required. 
     

Technical Knowledge 

  • The SEP must possess a working knowledge of the systems used within the company.  The SEP must be proficient in the following:
  • Knowledge of Microsoft Office Suite- inclusive of Word, Power Point, Excel, and Outlook  
  • Experience with catering software such as caterxpert, or similar platforms  
  • Event Opening & closing procedures
  • Food and beverage knowledge
  • Ability to travel locally and occasionally outside the market as required. Estimated travel: 20-30%.
Compensation Range

Starting at $85,000/yr. dependent on experience
