Senior Assistant Property Manager – Retail Real EstatePosition Summary

The Assistant Property Manager supports the day-to-day management and operations of a portfolio of retail shopping centers. This role works closely with the Property Manager to ensure properties are well maintained, tenants receive exceptional service, vendors perform according to contract, and financial and administrative objectives are achieved. The ideal candidate is organized, customer-focused, and able to manage multiple priorities in a fast-paced environment.

Key ResponsibilitiesProperty Operations
  • Assist in the daily management of assigned retail properties.
  • Conduct regular property inspections to ensure cleanliness, safety, and compliance with company standards.
  • Coordinate maintenance requests and follow up to ensure timely completion.
  • Monitor vendor performance and assist with service contracts for landscaping, janitorial, security, snow removal, and other property services.
  • Support emergency response efforts and coordinate repairs as needed.
Tenant Relations
  • Serve as a primary point of contact for tenant inquiries and service requests.
  • Respond promptly to tenant concerns and coordinate resolutions.
  • Assist with tenant move-ins, move-outs, and property orientations.
  • Maintain positive working relationships with tenants and vendors.
Financial Administration
  • Assist with preparation and monitoring of annual operating budgets.
  • Review invoices for accuracy, obtain approvals, and process payments.
  • Track operating expenses and assist with variance reporting.
  • Support rent collection activities and follow up on outstanding balances as directed.
  • Assist with monthly financial reporting and reconciliation.
Lease Administration

  • Assist with CAM reconciliations and lease-related reporting.
Vendor & Project Coordination
  • Coordinate vendor scheduling and oversee routine maintenance projects.
  • Obtain proposals and assist with bid comparisons.
  • Monitor project timelines and communicate progress to management.
  • Ensure vendors meet insurance and contractual requirements.
Compliance & Documentation
  • Maintain organized electronic and physical property files.
  • Assist with regulatory compliance, safety inspections, and risk management initiatives.
  • Prepare correspondence, reports, and meeting materials.
  • Support audits and special projects as assigned.
Qualifications
  • Bachelor's degree in Business, Real Estate, Property Management, or a related field preferred; equivalent experience considered.
  • 4 years of commercial or retail property management experience preferred.
  • Knowledge of retail real estate operations, lease administration, and property maintenance.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple projects and meet deadlines.
  • Proficiency with Microsoft Office Suite, particularly Excel.
