Qualifications
  • High School graduates prefer Community College, Vocational or associate degree
  • Possess or ability to secure an IVP Fingerprint Card.
  • Must have excellent computer skills (Microsoft Office Suite)
  • Must have above average English Language skills.
  • Must demonstrate the ability to perform all general secretary duties
  • Valid Arizona Driver's License.
  • Well versed in Navajo tradition and culture, preferred.
  • Effective written and oral communication.
    1. Assists in the preparation of complex documents (e.g. executive summaries, correspondence, agendas, minutes, event programs, reports, etc.) for the purpose of communicating information to school and district personnel, the public, etc.
    2. Attends meetings called by the supervisor, special committees under the supervision of the Supervisor, etc. for the purpose of recording the minutes in accordance with district policy.
    3. Compiles data from a variety of sources (e.g. agenda items, calendar items, budget, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
    4. Coordinates a variety of activities (e.g. meetings, workshops, travel and accommodation, etc.) for the purpose of ensuring availability of facilities and/or equipment and delivering services in conformance to established guidelines.
    5. Develops and completes meeting agendas and informational memos for the purpose of ensuring the accuracy and completeness of materials presented to the public.
    6. Maintains documents, files and records (e.g. all student files, requisitions, purchasing quotes, budget reports, etc.) for the purpose of providing up-to-date reference and audit trail for compliance.
    7. Monitors assigned district activities and/or program components (e.g. expenses, appointments, etc.) for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.
    8. Prepares written materials (e.g. reports, memos, letters, etc.) for the purpose of documenting activities, providing written reference and/or conveying information.
    9. Processes documents and materials for the purpose of disseminating information to appropriate parties.
    10. Responds to a wide variety of inquiries (e.g. parents, staff, public agencies, other districts, etc.) for the purpose of resolving problems, providing information and/or referring to appropriate personnel.
    11. Schedules for a variety of activities (e.g. meetings, travel arrangements, etc.) for the purpose of assisting in meeting staff needs and efficient utilization of personnel, equipment and facilities.
    12. Perform any other assignments as directed by the Supervisor or the Superintendent.

Essential Duties and Responsibilities
Responsibilities include working under limited supervision focusing primarily on results; and operating within a defined budget and/or financial guidelines. Utilization of resources from other work units is required to perform the job functions. There is an opportunity to impact the Organization's services.
Physical Demands and Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing and/or pulling; some climbing and balancing; some stooping, kneeling, crouching and/or crawling; significant reaching, handling, fingering and/or feeling. Generally, the job requires 60% sitting, 30% walking and 10% standing. The job is performed under minimal temperatures variations, a generally hazard free environment, and in a clean atmosphere.
