Job description

Timeline: Hours will fluctuate throughout 2026, especially busy in April, May, September and October 
Reports to: Director of Creative Operations

We are a fully remote company, with partners and staff throughout California. Applicants must reside in California.

Overview
We are seeking detail-oriented Design Coordinators to support design projects in short, focused intervals. This role is not responsible for managing projects end-to-end; instead, you will step in during key stages to set up project files, review work for content and design accuracy, and provide actionable design feedback based on the creative brief and oversee edits/changes as directed.

You will collaborate closely with Designers and Client Services Managers (CSMs) to keep creative moving through the workflow. This role requires strong organization, excellent communication, a good design eye, and confidence in giving constructive feedback, not just moving files from point A to point B.

Key Responsibilities

Project Setup and Intake:
Review creative briefs, gather required assets, and set up organized project folders for designers.

Design and Content Feedback:
Review in-progress design files to ensure they reflect the brief and required specifications.
Provide clear design direction and feedback to designers. No layout or production work required.

Asset and File Accuracy Checks:
Proofread copy, check versioning, verify naming conventions, and ensure all required elements are included.

Tracking and Documentation:
Input projects into Airtable, update status fields, and ensure records stay accurate.
Notify the Client Services Manager when a deliverable is ready for next steps.

Important:
This role supports specific moments in the workflow. It does not own the full lifecycle or lead communication with clients.

Qualifications

2+ years in design coordination or creative operations preferred
Ability to evaluate design files and provide constructive, objective feedback
Familiarity with design terminology, file types (AI, INDD, PDF), and basic print/digital specs
Excellent organizational skills and ability to jump between multiple projects
Strong proofreading skills and meticulous attention to detail
Clear communicator, comfortable nudging designers or CSMs when something is missing or delayed

Preferred Tools

Airtable or similar project tracking platform
Google Drive (shared folder structures and versioning)
Adobe Acrobat (markup and commenting)
Zoom
Basic familiarity with Adobe design tools (Illustrator and InDesign), no hands-on design work required

Ideal Profile
You love structure, design details, and moving creative work forward. You are not designing, but you know how to provide thorough feedback and help designers hit the mark quickly.
