THE ROLE
Insomniac is seeking an Inventory Coordinator, Elevated Experiences to support the planning, organization, and movement of all Elevated Experiences inventory across multiple shows. This role reports into the Director of Elevated Experiences and plays a critical part in ensuring the department's gear is clean, accounted for, prepped, transported, and returned efficiently and accurately.
RESPONSIBILITIES
  • Own and complete all warehouse pullsheets, ensuring accuracy, organization, and readiness for load-out.
  • Inventory Tracking including maintaining an accurate and up-to-date inventory tracking system
  • Working closely with the Show Leads, Managers, and Project Managers of Elevated Experiences to identify damaged, missing, or unusable inventory and escalate for repair, replacement, or disposal.
  • Track inventory throughout the event lifecycle: pre-show pulls, on-site arrival, daily counts, load-out, and warehouse return.
  • Coordinate trucking, logistics, and scheduling for transport of inventory to and from shows, ensuring accurate manifests and on-time delivery.
  • Assist with organization, labeling, and storage systems to keep warehouse inventory streamlined and audit-ready.
  • Support on-site operations as needed during load-in/load-out to ensure inventory is placed correctly and logged accurately.

QUALIFICATIONS
  • Proven experience in project management for live events.
  • Strong understanding of Inventory Management
  • Excellent communication and collaboration skills.
  • Ability to work under pressure and adapt to changing event dynamics.
  • Highly organized with sharp attention to detail; strong ability to prioritize in fast-paced, high-pressure environments.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite.
  • Ability to lift up to 50 lbs and work on-site for extended periods when needed (load-ins/load-outs).

WORK ENVIRONMENT
  • Must be able to tolerate loud noise levels & busy environments
  • May work in drastic temperature climates
  • Must be willing to frequently travel to work events during holidays, evening and weekend hours, as required, to meet deadlines
  • Must be comfortable working on festival sites, including long periods of standing, walking, or assisting with physical tasks during load-ins and load-outs.
