Position Summary:


We have an exciting opportunity to join our team as a Program Coordinator. The Office of Professional Development (OPD) at NYU Grossman School of Medicine is looking for a Program Coordinator with exceptional communications and outreach experience. This position will focus on efforts related to our Science Technology Entry Program (STEP) and the OPD, in general. STEP is a pre-college science, technology, engineering, math (STEM) and health science program funded by a grant from the New York State Education Department. STEP is aimed at supporting the healthcare focused aspirations of NYC middle and high school students. Under the supervision of the Assistant Director for Professional Development, this position will assist with all OPD communications and assist in the enhancement and building of pathways to STEM/Medicine career exploration.

Job Responsibilities:

The Program Coordinator, STEP Communications & Outreach will assist the Science Technology Entry Program team with day-to-day activities assisting with publicity and communications of STEP. 

Program Coordination:

  • Provide direct co-supervision to STEP program scholars (approx. 160), including providing mentorship, coaching and professional development opportunities
  • Assist in the planning of curricular activities including SAT preparation courses, allied health professions workshops, experiential learning opportunities, etc.
  • Update and maintain outreach and recruiting databases, listservs, and internal and external contact listings (i.e., students, faculty and staff)
  • Collect and analyze data on recruitment strategies and effectiveness
  • Coordinate STEP student interviews and manage the application and selection process
  • Assist in the creation of education surveys that assess student and program outcomes
  • Maintain STEP scholar records and track participant progress, including college placement, retention, and overall student success
  • Represent STEP at internal and external recruitment events
  • Develops progress reports and presentations to support STEP
  • Assist in the coordination/ planning/ execution of STEP Scientific Advisory Board meetings
  • Provides academic and non-academic support or referrals to ensure student completion and graduation, including submitting letters of recommendation
  • Support and innovate on program design to ensure that contract milestones and outcomes are met and exceeded
  • Build and manage relationships with key faculty and staff to ensure the ongoing success of current programming and the future growth of the program
  • Provide administrative support to STEP
  • Collaborate on the forecasting and tracking of STEP expenses
  • Ability to work a flexible schedule, evening and weekend hours are required 

Communications: 

  • Promote STEP and Office of Professional Development (OPD), internally and externally, by developing content for social media, the website, and other online outreach platforms
  • Coordinate the design of STEP and OPD materials with the Print Shop, and distribute accordingly
  • Draft and copy edit communications, as needed
  • Liaise with internal departments and external organizations and institutions as an Office of Professional Development representative
  • Participates in special projects and performs other duties as required 

Minimum Qualifications:


To qualify you must have a Bachelor's Degree and a minimum of 3 years of experience in a field related to communications and marketing. Strong verbal and written communication, interpersonal, time management, and organizational skills. Classroom management skills. Experience with Microsoft Office Suite and Mac-based computer applications. Value and willing to cultivate a learning environment by embodying a growth mindset. Displays sound judgment, professionalism, and strong conflict-resolution skills. 

Preferred Qualifications:


Bachelor's degree or five years of equivalent experience in a field related to communication and marketing. Experience with Adobe Creative Cloud, social media platforms (LinkedIn, Instagram), and other marketing tools (i.e., JungleMail). 3-5 years of writing editorials, publications, or other relevant experiences. Experience working with opportunity programs such as (STEP, CSTEP, HEOP, etc.) or as an administrator. This position is contingent upon grant funding
