This position covers our Capital Division. Candidate must be located in Virginia or New Hampshire. 

Job Summary and Qualifications

The Manager of Centralized OR Scheduling is responsible for leading centralized scheduling operations for assigned divisions while maintaining high standards of service, accuracy, and efficiency. The role requires strong leadership, operational oversight, and collaboration with clinical and administrative stakeholders. 

What you will do in this role:

  • Collaborate with Surgical Services Director and facility leadership to coordinate, evaluate, customize, and deliver high quality, patient-centered care.
  • Supervise and support the centralized OR scheduling team, including hiring, training, performance evaluations, and professional development. 
  • Oversee the daily operations of surgical scheduling to ensure timely and accurate booking of procedures and optimal use of operating room time and resources. 
  • Foster a culture of accountability, collaboration, and continuous improvement. 
  • Develop scheduling policies and procedures in alignment with hospital standards and regulatory requirements and ensure accountability to these policies and procedures. 
  • Monitor call center metrics (e.g., call volume, response time, abandonment rate) and implement strategies to improve service levels. 
  • Ensure staff are trained in customer service best practices and equipped to handle high-volume, high-complexity scheduling scenarios. 
  • Monitor OR block utilization and work with surgical departments to optimize scheduling efficiency. 
  • Maintain relationships with surgical services, physicians, nursing, anesthesia, and administrative departments to ensure smooth OR operations. 
  • Facilitate communication and coordination across departments to support seamless surgical workflows. 
  • Ensure a scheduling representative attends daily 5 Day Look-Ahead meetings and supports the resolution of any issues taken away from these meetings.
  • Collaborate with facility team leads to resolve scheduling conflicts and last-minute changes in coordination with clinical teams. 
  • Analyze scheduling data to identify trends, inefficiencies, and opportunities for improvement or best practice adoption. 
  • Prepare and present regular reports on OR utilization, case volumes, and cancellations. 
  • Lead initiatives to streamline scheduling workflows and implement best practices. 
  • Collaborate with IT and clinical informatics to enhance scheduling systems and tools. 

Qualifications:

  • Bachelor’s degree in healthcare administration, nursing, business, or related field required. Master’s degree preferred. 
  • RN or clinical background in perioperative services. 
  • Equivalent work experience may substitute. 
  • Minimum 5 years of experience in surgical services or healthcare operations, with at least 2 years in a supervisory or management role. 
  • Lean Six Sigma or process improvement certification
