What is a scheduling dispatcher?

Scheduling Dispatchers are professionals responsible for coordinating and managing the schedules and assignments of personnel, vehicles, or deliveries within an organization. They communicate with staff, customers, or drivers to ensure efficient routing and timely service. Scheduling Dispatchers often use specialized software to monitor activities, resolve scheduling conflicts, and respond to unexpected changes or emergencies. Their role is crucial in industries like transportation, logistics, field services, and healthcare to maintain smooth operations and high customer satisfaction.

Job description

Client Scheduling Coordinator / Dispatcher A-to-Z Quality Home Inspections | St. George, Utah $17–$21/hour DOE | Hybrid Work Environment A-to-Z Quality Home Inspections is hiring a highly organized, personable Client Scheduling Coordinator/Dispatcher to own the customer experience from the initial inquiry through a successfully scheduled inspection. This is not a traditional call-center or transportation dispatch position. You will work directly with homebuyers, sellers, real estate professionals, and our inspection team to ensure inquiries are responded to quickly, inspections are scheduled accurately, and every client knows exactly what to expect next. What You’ll Do  Answer incoming calls and respond promptly to missed calls, texts, emails, and website inquiries.  Manage inbound leads and follow-up through GoHighLevel.  Gather property information, assist clients with inspection pricing, and coordinate inspection dates and property access with clients and real estate agents.  Schedule and maintain inspections accurately in Spectora.  Maintain accurate lead statuses, communication history, and notes.  Consistently follow up with prospective clients who have not yet scheduled.  Educate clients on available ancillary services, packages, and promotions, including radon, termite, pool, mold, and methamphetamine testing, without using high-pressure sales tactics.  Answer general questions about the inspection process and appropriately escalate technical questions.  Review previous communications and inspection information before responding to existing clients.  Take ownership of each scheduling workflow from initial contact through successful booking. Who We’re Looking For You should be polished, confident, and personable on the phone, with the ability to communicate professionally with homeowners, real estate agents, and other industry professionals. Strong candidates will be highly organized, detailoriented, and comfortable managing multiple conversations, systems, and scheduling priorities without losing track of follow-up. Previous experience in customer service, scheduling, dispatching, inside sales, real estate, home services, or office coordination is strongly preferred. Experience working directly with Realtors or in a real estate-adjacent environment is especially valuable. Because this is a hybrid role, you must also have a professional work-from-home environment that is quiet, reliable, and free from routine distractions during scheduled working hours. You should be comfortable working independently, staying responsive throughout the day, and maintaining the same level of professionalism and accountability remotely as you would in an office. Experience with CRM, scheduling, dispatch, or customer-management software is preferred, but we are willing to train the right person on our specific systems and workflows. Compensation & Benefits  $17–$21/hour DOE  Paid training  Paid time off  SIMPLE IRA matching  Hybrid work environment  Established scripts, SOPs, and workflows  Opportunity to grow into broader client-experience and operational responsibilities What Success Looks Like Success means inquiries receive fast responses, inspections are scheduled accurately, real estate professionals receive reliable communication, viable leads do not fall through the cracks, and clients feel taken care of before an inspector ever arrives. We already have the systems, scripts, and workflows in place. We are looking for someone who can learn the process, execute it consistently, and ultimately take ownership of it!
