Position Summary
At Senior Helpers of Baltimore and Central Maryland, exceptional care depends on exceptional coordination.
We are seeking a highly organized, solutions-oriented Evening & Weekend Scheduling Coordinator to provide scheduling coverage and operational support outside of normal business hours. This role serves as the primary scheduling and staffing resource during evenings and weekends, ensuring uninterrupted care delivery while supporting caregivers, clients, families, and the office team.
The ideal candidate is a master of WellSky Personal Care (formerly ClearCare), thrives in a fast-paced environment, communicates with confidence and professionalism, and approaches every challenge with a positive, solutions-focused mindset. This individual understands that successful scheduling is about more than filling shifts-it is about creating exceptional experiences for clients, supporting caregivers, and protecting the continuity of care.
This position is ideal for someone who enjoys solving problems, thinking critically under pressure, and working collaboratively as part of a high-performing team.
Key Responsibilities
Scheduling & Staffing Coordination
  • Serve as the primary scheduling resource during evenings and weekends.
  • Respond to caregiver call-offs, schedule changes, and staffing emergencies.
  • Fill open shifts quickly and effectively while maintaining continuity of care.
  • Utilize WellSky Personal Care to manage schedules, caregiver assignments, availability, and client service needs.
  • Coordinate staffing solutions that balance client preferences, caregiver availability, and operational requirements.
  • Maintain accurate documentation of all scheduling activities and staffing actions.
Client & Caregiver Support
  • Serve as an after-hours point of contact for caregivers and clients.
  • Provide professional, timely, and compassionate support during urgent situations.
  • Communicate schedule changes and staffing updates clearly and effectively.
  • Help caregivers navigate scheduling challenges and service-related questions.
  • Deliver exceptional customer service with every interaction.
Problem Solving & Decision Making
  • Proactively identify and resolve scheduling challenges before they impact service delivery.
  • Exercise sound judgment when managing competing priorities and urgent situations.
  • Escalate clinical, safety, or operational concerns in accordance with agency protocols.
  • Remain calm, professional, and solution-focused during high-pressure situations.
  • Collaborate with office leadership when additional support or guidance is needed.
Team Collaboration
  • Partner closely with the Lead Scheduler, Client Care Team, and Operations Leadership.
  • Ensure smooth communication and handoff of important information to the office team.
  • Support a culture of accountability, teamwork, responsiveness, and service excellence.
  • Contribute ideas and recommendations that improve scheduling efficiency and caregiver engagement.
Qualifications
Required
  • Extensive experience with WellSky Personal Care (ClearCare).
  • Previous home care, home health, healthcare staffing, or related scheduling experience.
  • Strong understanding of caregiver scheduling, shift coverage, and staffing coordination.
  • Exceptional customer service and communication skills.
  • Ability to work independently and make sound decisions with limited supervision.
  • Strong organizational and time-management skills.
  • Proficiency with Microsoft Office and business communication platforms.
  • Availability to work evenings and weekends.
Preferred
  • Experience supporting after-hours operations.
  • Experience managing urgent staffing and scheduling situations.
  • Knowledge of Maryland home care operations and best practices.
