Scheduling Coordinator

Daly City, CA 94014

Overview

Salary Range $42.79 - $48.75 Hourly

Description

The Scheduling Coordinator is responsible for ensuring our providers have an up-to-date work schedule to ensure availability of appointments for our NEMS patients. They will be responsible for coordinating and scheduling appointments. This candidate will also provide administrative support to Clinic Operation and Call Center.

Essential Job Functions:

  • Maintains providers schedule i.e., on-call, vacations, meetings, etc.
  • Reviews coverage and ensures adequate patients access to care at NEMS by coordinating or alerting medical directors when access is inadequate
  • Responsible to open, close and release provider schedules based on providers' time off request and call outs
  • Retrieves time off request records from HR system
  • Retrieves the day-of time off requests and update provider schedules accordingly
  • Coordinates with clinic front desks and call center to re-direct patient appointments and rescheduling as appropriate
  • Supports development, revision, and maintenance of provider scheduling guidelines
  • Supports development or revision of front desk or call center scheduling workflows
  • Responsible to enter data accurately in EHR patient appointment module
  • Provides administrative support to clinic operation and call center
  • Reviews and ensures adherence to provider scheduling guidelines, identifies and reports anomalies
  • Follows policies and procedures to contribute to the efficiency of the department
  • Understand NEMS Employee Handbook for no shows, call offs, leaves of absences, etc.
  • Ability to analyze a situation, make decisions and think independently
  • Performs competency check on new front desk staff
  • Communicates and trains new front desk and call center agents on scheduling guidelines
  • Updates and trains all front desk and call centers on scheduling guidelines
  • Supports the maintenance of all clinic staff schedules
  • Performs other job duties as required by manager/supervisor
Qualifications
  • High school diploma or General Education diploma required
  • Three years of experience in a health care setting and scheduling experience preferred
  • Familiarity with medical scheduling in Epic is a must
  • Strong time management skills
  • Able to apply critical thinking skills
  • Able to provide excellent problem-solving skills, organizational skills and attention to detail is a must
  • Ability to keep sensitive information confidential
  • Outstanding communication skills
  • Excellent interpersonal skills
  • Comfortable with interacting with mid- and senior management

Language:

  • Must be able to fluently speak, read and write English
  • Fluency in other languages are an asset

Status:

  • This is an FLSA Non-exempt position.
  • This is not an OSHA high-risk position.
