The Scheduler schedules hospital department provider visits for patients within the Pediatric Specialty Centers. The position manages appointment referrals from internal providers and provides guidance for all stakeholders in the referral process. The scheduler collaborates directly with providers and frontline staff to ensure accurate, prompt, and effective scheduling for the department.SC Scheduler schedules hospital department provider visits for patients within the Pediatric Specialty Centers. Responsibilities
  • 1. Establishes and provides ongoing management of clinician templates and schedules including template changes and closures reflective of anticipated clinic changes
  • 2. Modifies templates as requested by specialty and department providers and leadership
  • 3. Works in collaboration with clinical team to schedule appointments according to department guidelines
  • 4. Accurately creates and selects proper visit information---patient, visit type, duration, and specialty provider
  • 5. Documents appropriate information pertaining to the visit in the appointment note field.
  • 6. Manages urgent add on appointments
  • 7. Assists with pre-authorizations as needed
  • 8. Confirms patient appointments as needed
  • 9. Maintains waitlist and provides ongoing review of wait list/recall list for visits
  • 10. Reviews schedules daily to identify open appointments and contacts appropriate patients to offer more timely appointment
  • 11. Follows up on missed appointments as per provider recommendations
  • 12. Performs other scheduling/rescheduling duties as needed
  • 13. Assists patients, providers and staff with telehealth visits
  • 14. Performs general clerical functions and other duties to ensure accurate, prompt, effective and timely flow of communication and an optimal patient experience

Qualifications

EDUCATION

Hight school diploma or GED certificate.

EXPERIENCE

One (1) to two (2) years of work experience in a customer service environment preferably in a hospital /physician office with emphasis on scheduling

SPECIAL SKILLS

Self-directed, well organized and exhibiting excellent interpersonal and team oriented skills. Basic computer skills and the ability to adapt to various software programs/systems. Capable of balancing appropriate level of intervention and partnering with patients, clinical staff and leadership to ensure the highest quality of patient care.
