About the Role

The Quality Assurance (QA) Specialist is responsible for enforcing quality, compliance, and documentation standards across all production processes. This role serves as the final authority on Batch Production Record (BPR) approvals, ensuring all required steps, verifications, and documentation are completed accurately before production progresses or products are released.

QA acts as a gatekeeper to production, with the authority to stop or prevent progression when standards are not met.

This role operates at the intersection of Production, Compliance, and Data Integrity, ensuring all departments remain aligned with quality and regulatory standards before any product progresses.

Key Responsibilities

1. BPR Review & Approval

  • Review and approve all Batch Production Records (BPRs) at required checkpoints, including:
    • Pre-production (formulation approvals)
    • All Work-In-Process (WIP) stages (grind, infusion, blends, filling, rolling, etc.)
    • Packaging & Label Inspection Reports
    • Final Batch Record Review after final packaging
  • Ensure all required fields, calculations, and documentation are complete and accurate
  • Enforce "no blanks, no approval" standard
  • Turn approved BPRs into Data Entry within 1 business day

2. Production Quality Oversight

  • Verify accuracy of inputs/outputs across all production stages
  • Ensure proper execution of documented procedures within BPRs
  • Identify and flag errors, inconsistencies, or deviations in real time
  • Enforce requirement that no production progresses without QA approval

3. Sampling & Testing Coordination

  • Submit and manage all product sampling through Confident Cannabis
  • Coordinate:
    • R&D testing
    • Compliance testing
  • Manage COA change requests (internal and vendor-related)
  • Ensure accurate documentation of all sample submissions and results
  • Notify Inventory Team of sampled consumables thru the Sample Testing Log

4. Packaging & Release Authorization

  • Review and approve Packaging & Label Inspection Reports prior to production release
  • Ensure all packaging components and labeling meet compliance standards
  • Prevent packaging or final production without QA sign-off

5. Compliance & SOP Support

  • Partner with Compliance to:
    • Develop and refine SOPs related to BPR processes
    • Build and support training materials
  • Ensure adherence to internal SOPs and regulatory requirements
  • Participate in audits, process improvements, and compliance initiatives
  • Perform monthly mock audits to ensure compliance readiness

6. Error Tracking & Continuous Improvement

  • Track recurring BPR and production errors in our internal Error Tracker
    • Weekly reports will be sent to National Compliance and Regional Production Managers for review
  • Identify top issues and support corrective actions
  • Participate and support in retraining efforts for repeat errors
  • Escalate issues when defined thresholds are exceeded

7. Cross-Functional Coordination

  • Work closely with:
    • Production
    • Inventory
    • Data Entry
    • Compliance
  • Ensure smooth handoffs between departments
  • Support alignment on timelines:
    • QA review: 1 business day
    • Data Entry processing: 1 business day
Candidate Qualifications

Required Skills

  • Strong understanding of regulated production environments (cannabis, pharma, food manufacturing, or similar)
  • Proven ability to enforce compliance standards in real-time operational settings
  • High attention to detail with the ability to identify inconsistencies across documentation and physical processes
  • Strong conflict management skills with the ability to push back on production teams when standards are not met
  • Proficiency in data tracking and reporting (Google Sheets or equivalent)
  • Ability to interpret and apply SOPs in dynamic production environments
  • Clear and concise written communication for audit-ready documentation

Experience

  • 2-5 years in a quality assurance, compliance, or production control role within a regulated manufacturing environment
  • Demonstrated experience in cross-departmental collaboration (Operations, Legal, QA, Production)
  • Experience with SOP management and development
  • Experience reviewing or approving batch records, production logs, or equivalent documentation required
  • Experience participating in audits or inspections strongly preferred
  • Prior experience in cannabis manufacturing highly preferred

Education

  • Bachelor's degree in Business, Regulatory Affairs, Supply Chain, Data Analytics, or equivalent experience
