PR & Sample Coordinator (Retail Apparel) (Onsite - San Francisco, CA)
 
We are seeking a highly organized PR and Editorial Coordinator with experience supporting sample management, inventory tracking, shipping logistics, and influencer/media seeding initiatives for a global retail client. The ideal candidate will have strong project coordination skills, experience managing product samples from request through fulfillment, and the ability to work cross-functionally in a fast-paced retail environment. 
 
This is a 40-hour per week, 7-month contract (extension possible), an onsite role in San Francisco, CA. 
 
This is a W2 role as a Stage 4 Solutions employee. Health benefits and a 401K are offered.
 
Responsibilities:
●    Complete all incoming, timely sample requests through warehouse order process. 
●    Follow the process from receiving the request, to securing samples from the warehouse and keeping the requester updated with tracking information and what was available.
○    Align with manager to figure out priority when there are multiple incoming sample requests.
●    Facilitate store pulls if necessary to deliver products with more urgent deadlines.
●    Work cross-functionally for sample borrowing when necessary.
●    Order all necessary long lead / seeding samples through internal product sample system according to the deadlines on the sample calendar.
●    Assist with the planning and execution of packaging.
●    Executing the send-out process from pulling product, packaging, sending out and list management.
●    Unsure all products are checked in and organized in the closet.
●    Manage any communication and troubleshooting with vendors regarding long lead samples.
●    Ensure all inventory grids are updated for all seeding.
●    Ensure closet is kept organized and product is accounted for daily, including outgoing samples and incoming returns.
●    Responsible for timely and professional communication with internal and external contacts (including editors).
●    Assist in creating seeding lists including VIPs, influencers, media, etc. for seeding opportunities.
●    Facilitate any communication with the mailroom to troubleshoot shipping issues.
●    Complete all incoming photo requests promptly using internal photo sharing platform.
 
Requirements:
●    1+ years of experience coordinating product samples, editorial requests, PR operations, merchandising support, or inventory management.
●    Experience supporting shipping, packaging, and logistics activities.
●    Experience supporting influencer, media, editorial, or seeding initiatives.
●    Ability to work cross-functionally with internal teams, vendors, and external partners.
●    Retail, fashion, apparel, lifestyle, or consumer brand experience preferred.
