Description
The Samford CARES Administrative Assistant provides essential operational and administrative support to ensure the effective daily functioning of CARE, Counseling, and Wellness initiatives. This role serves as a central point of coordination for schedules, communications, and program logistics while fostering a welcoming and supportive environment for students, campus partners, and visitors. The Administrative Assistant plays a key role in maintaining efficient systems and supporting student-centered services that promote holistic well-being.
This is a 10-month, part-time position and is annually funded each academic year based on departmental need.
Job Duties
Administrative & Operational Support
- Support the daily logistics, operations, and service needs of Samford CARES.
- Manage scheduling, appointment confirmations, and follow-up communications for Counseling, CARE, and Wellness services.
- Maintain organized systems for documentation, communication, and workflow efficiency.
Financial & Business Operations
- Manage financial and business records with accuracy, attention to detail, and confidentiality.
- Assist with budgeting processes, expense tracking, and purchasing coordination.
- Ensure compliance with institutional policies and procedures related to financial operations.
Front Desk & Hospitality
- Provide a welcoming, professional, and student-centered environment for all visitors, including students, faculty, staff, and donors.
- Serve as the first point of contact for Samford CARES, offering guidance and directing individuals to appropriate resources.
- Help create a hospitable and supportive atmosphere that reflects the university's commitment to care and wellness.
Communications & Marketing Support
- Assist in maintaining daily communications, including email correspondence and office updates.
- Support social media and marketing efforts to promote CARE and wellness programs, events, and resources.
- Help ensure consistent and clear messaging across platforms.
Program & Event Logistics
- Coordinate logistics for the Wellness Ambassador Program, including scheduling, communication, and event support.
- Assist with operational needs of the campus Food Pantry, including organization and distribution support.
- Provide logistical and administrative support for large-scale wellness events and initiatives as needed.
Qualifications
- Bachelor's degree from an accredited institution.
- Basic computer literacy and accounting skills .
- Competent in Microsoft Office (Word, Publisher, Excel, PowerPoint).
- Professional and personable communication skills.
- Ability to lift 20 pounds.
Preferred Qualifications
- Work experience in a university or school context.
- Proficiency in engaging and managing software (Banner, Argos, Spaces, Maxient, etc.).
- Highly organized, attention to details, assertive problem solver and reliable.
