Job description

Position Summary

The Salesforce Administrator & Applications Manager administers, optimizes, and supports Salesforce and related applications to advance fundraising, donor engagement, program delivery, grants management, and operational efficiency. This role partners with cross-functional teams to deliver effective CRM solutions, maintain data integrity, and support system adoption in alignment with UWPBC's mission and goals.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Salesforce Administration & Configuration

  • Serve as primary administrator for UWPBC's Salesforce Nonprofit Cloud environment and related United Way–specific tools (e.g., BTH, GoodWorld).
  • Create, configure, and maintain objects, fields, page layouts, flows, validation rules, automations, and security.
  • Manage user accounts, roles, profiles, permissions, and sharing.
  • Manage sandboxes, deployments, upgrades, routine maintenance, and release readiness.
  • Ensure system security, compliance, and adherence to IT policies.

Applications Management

  • Manage and support integrations between Salesforce and third-party systems (fundraising, marketing, finance, events, volunteer platforms).
  • Partner with departments to translate business needs into system solutions.
  • Coordinate with vendors and consultants for implementations, enhancements, and issue resolution.
  • Support evaluation and adoption of new applications that align with organizational needs.
  • Develop and maintain standard operating procedures (SOPs) for all applications.

Data & Reporting

  • Maintain data quality through governance, validation, deduplication, and monitoring.
  • Develop and maintain reports and dashboards to support leadership and operational decision-making.
  • Support segmentation, analysis, and reporting for fundraising, marketing, and impact measurement.

Training & Change Management

  • Provide user support, training, and documentation for Salesforce and integrated applications.
  • Promote system adoption through clear communication, resources, and ongoing support.
  • Support organizational change related to system enhancements and process improvements

Other Responsibilities

  • Manage technical integrations, support data reconciliation, and provide backup support for other UWPBC enterprise applications.
  • Participate in occasional after-hours maintenance windows or system upgrades.
  • Perform other duties as assigned to support UWPBC's technology and data strategy.
  • Assist, as assigned by management, with the organization's disaster response efforts.
  • Perform other duties as opportunities are presented and/or assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Education: Bachelor's degree in Information Systems, Business Administration or related field experience.
  • Experience: 1-3 years Salesforce administration experience, nonprofit experience a plus, CRM manager, or similar role.
  • Experience with Salesforce Nonprofit Cloud or NPSP and nonprofit data models.
  • Proficiency with Salesforce configuration tools, including Flow Builder, validation rules, Lightning App Builder, and permission management.
  • Experience managing integrations and working with third-party vendors.
  • Strong understanding of data governance and reporting best practices.
  • Ability to communicate effectively with technical and non-technical users.
  • Excellent problem-solving, analytical, and organizational skills.
  • Demonstrated ability to lead cross-functional projects and drive user adoption.
  • Excellent communication and people skills, with the ability to influence, resolve conflict, and lead decision-making.
  • Ability to prioritize work and handle multiple tasks simultaneously in a fast paced and dynamic environment.
