Position Summary

The Sales & Client Support Specialist plays a key role in supporting the sales team by managing customer relationship data, coordinating sales documentation, enhancing the client experience, and assisting with strategic initiatives. This position requires exceptional organizational skills, attention to detail, strong communication abilities, and a proactive approach to ensuring a seamless customer journey from project proposal through post-installation follow-up.

Essential Responsibilities

Customer Relationship Management

  • Manage and maintain the CRM system, ensuring accurate customer information through ongoing data entry, updates, and database maintenance.
  • Maintain organized customer records and support reporting needs for the sales team.

Sales & Administrative Support

  • Provide administrative support to the sales team to improve efficiency and responsiveness.
  • Coordinate sales proposal documentation, including:
    • Brand-specific cover sheets
    • Brand-specific Terms & Conditions
    • Signature pages
    • Ideal Image branding materials
  • Assist with preparing sales documentation and coordinating quote packages based on sales team requirements.

Client Experience & Customer Care

  • Coordinate the implementation and ongoing management of the company's Client Gift Program.
  • Establish and administer a 60-day post-installation Customer Care Follow-Up Program designed to:
    • Ensure overall client satisfaction
    • Identify and resolve concerns or warranty-related issues
    • Strengthen long-term customer relationships
    • Improve the overall customer experience

Project Coordination

  • Assist with scheduling and implementation of the company's 3D Video Walkthrough initiative.
  • Support Graphic Program through coordination and administrative assistance.
  • Maintain and manage Clean Care & Warranty QR codes used in production.

Prototype Room & Meeting Coordination

  • Assist with preparation and coordination of prototype rooms for:
    • Internal meetings
    • Client presentations and visits
    • Production reviews
    • Design review meetings
  • Help ensure presentation spaces are organized, professional, and client-ready.

Special Projects

  • Support additional projects, company initiatives, and cross-functional assignments as directed.
  • Assist with process improvements that enhance customer service, sales operations, and organizational efficiency.

Qualifications

  • Associate's degree or equivalent work experience preferred but not required.
  • Experience with CRM software preferred.
  • Experience with Microsoft Office Suite.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication abilities.
  • High attention to detail and accuracy.
  • Ability to work independently while collaborating effectively with cross-functional teams.
